POSITION SUMMARY: This position ensures quality services by acting as a liaison between all potential clients including general public, physicians, physician office staff, and hospital staff. The Office Manager will coordinate the staffing of front desk, medical assistants, and take care of the needs of physicians and providers. Office manager will also oversee the plan, organize and direct the daily operations of the medical assistants through the Medical Assistant Lead and/or Coordinator. Office Manager will oversee and monitor the billing process of the outside billing company, and implement and enforces operating policies, procedures, and standards.
POSITION EDUCATION/QUALIFICATIONS: • High school diploma or equivalent is preferred. • Minimum five (5) years demonstrated leadership in a health care organization preferred. • Associates degree required, Bachelors degree preferred in Business Administration or related field. • Knowledge of regulatory requirements (state, federal and The Joint Commission, or other relevant area). • Must be able to be sensitive to cultural and bilingual issues. • Organizational skills are required along with good written and verbal communication skills. • Ability to read, write and speak English • Ability to communicate clearly and concisely with all levels of management including: nursing, administration, and physicians • Medical office experience is preferred.
JOB KNOWLEDGE/EXPERIENCE¬: • Five (5) years experience in a healthcare setting as Office Manager. • Experience in a supervisory position is strongly preferred. • Requires reasoning ability and good independent judgment. • Business office experience required, duties to include but not limited to: the oversight of billing, collections, denial and appeals operations. • Ability to interact with providers on a personal and professional level • Requires working with frequent interruptions. • Must project a professional image.
POSITION RESPONSIBILITIES: Primarily responsible for the day to day clinic operations
Supervises the activities performed in all work units within the practice including practice management, implementation of procedures, records management, billing and collection and reporting of statistics.
Supervises, coordinates, and monitors work performance, motivating subordinates to work more effectively, identifying problems with performance and developing solutions to those problems, determining training needs to improve performance, initiating informal measures to correct
Serves as a back-up for front desk, financial counseling and billing as needed
Ensures calls are answered in a timely manner and calls are returned timely.
Reviews and approves the staff schedules to include Ofc Mgrs of physician offices where MD is coming from to ensure adequate coverage while the MD is at the clinic
Works closely with the Office Manager and MOS at the clinic to assure daily billing compliance and timely closing and submission of daily office charges back to the appropriate office
Submits any additional “walk-in” financial information to the Office manager of the respective physician clinic by end of day when the MD is in the clinic
Performs personnel administrative tasks, including coordinating and participating in the hiring and promotion process, supervising the training of new employees and the ongoing training of other employees, resolving unusual employee problems, and supervising employee time and attendance records.
Ensures the fiscal, operational and personnel practices are in compliance with DHR, state and federal regulations
Develops and implements systems and processes to establish and maintain understanding and monitoring for all work units within the practice.
Coordinates with reception area staff for effective communication with all areas for good patient workflow
Monitors month end reports and works on clinic process improvement initiatives, as needed
Assists in the development and implementation of policies within the practice
Supports the physician and RMF Administration in any administrative tasks or special projects as needed
Familiar with all regulatory areas and agencies in order to answer employee and physician questions
Other duties as assigned.
