Summary: We are looking to hire and experienced, self-directed full-time Administrative Assistant to join our team. The qualified Administrative Assistant will be responsible for supporting and overseeing the general administrative duties of the administrative team. The perfect candidate will be highly motivated, self-driven, and reliable.
Duties of the DRI Administrative Assistant include the following:
- Greet clients and employees and the front desk and ensures that they receive the best in customer care
- Answers the phones in a timely manner and directs calls to appropriate team member
- Preparing correspondence for Senior Administrative Staff and or Board Members
- Preparing and maintaining donor lists and board member lists
- Prepare acknowledgement correspondences to donors in a timely manner
- Make bank deposits and mail pickup daily
- Recording, preparing, posting, distributing and maintaining correspondence, meeting notices and minutes to designated members for committees, and or the board
- Creating and maintaining current mailing lists and databases for the Executive Committee, Board of Directors, Family Advisory Council, donors, families and other individuals and vendors
- Assisting in making arrangements for DRI meetings, workshops, conferences, etc. and assisting with all aspects of communication, calendars, scheduling and record keeping for fund raisers, special events and other company activities
- Ordering, maintaining and controlling audio-visual equipment, office equipment and supplies
- Receiving, dating and distributing all incoming mail, collecting and processing all outgoing mail
- Opening and/or locking offices at the open and close of business day as appropriate and maintaining a clean and organized office environment in the administration building and boardroom
- Observes safety and security procedures. Determines appropriate action beyond guidelines, reports potentially unsafe conditions and uses equipment and materials properly
- Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations Plan (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location
Supervisory Responsibilities: This position has no supervisory responsibilities.

Computer Skills: To perform this job successfully, an individual should have ability to manage multiple databases, Microsoft Office software, internet services, computer operating systems and programs and ability to operate modern office equipment.
Certification/License: Texas Driver’s License
Physical Demands Primary functions require sufficient physical ability and mobility to work in an office setting; to stand and sit for prolonged periods to time; to occasionally stoop, bend kneel, crouch, reach and twist; to lift, carry, push, and/or pull light to moderate amounts of weight up to 50 lbs; to operate office equipment requiring repetitive and movement and find coordination including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.

Salary Information:
Salary is based on experience. An initial 90-day probation period.
Schedule:
The work schedule will be Monday through Friday from 8am to 5pm.
