GENERAL DESCRIPTION
The Operations Administrative Assistant provides administrative support to all members of the Operations Team as needed to execute the Ductmate business philosophies and policies to achieve our corporate objectives and create a profitable entity. The Operations Administrative Assistant is expected to demonstrate confidentiality, diplomacy and efficiency when proactively dealing with complex issues, situations, or solving problems. They also act as the first point of contact with visitors to the facility with a pleasant demeanor and strong verbal communication skills.
ESSENTIAL FUNCTIONS/DUTIES
Production
- Process daily payroll including truck driver time and time and inventory adjustments
- Compile and maintain reports, type documents and correspondence and coordinate miscellaneous projects for the various departments in the Operations Group
- Maintain all Monongahela Standard Operating Procedures (SOPs) as needed
- Update quality control spec sheets and audit sheets as needed
- Collect, verify, and submit vacation forms
- Coordinate gym memberships and uniform program including orders and deliveries
- Organize, sort, and filter data from multiple sources in order to distinguish efforts and categorize trends
- Help teams ensure that information can be accessed in an appropriate and efficient manner
- Assist Workforce Development Manager with union employee prescreen phone interviews.
- Conduct assessments test for union employee interview candidates.
- Maintain shop personnel records including call-offs, write-ups, points, vacation requests, early leaves /quits, training records and employee work center list
- Maintain weekly production overhead and overtime reports. Distribute and post as directed
- Add/Close MOs, create shop packets and perform month end/year end closing process
- Manage company car sign out sheet
- Productions Daily Report
General
- Distribute both interoffice and regular mail, sign for certified and FedEx packages and deliver packages to the proper location/recipient
- Greet, register, and direct visitors in a friendly and efficient manner
- Set-up and clean-up for Distributor Training and other company events
- Provide detailed and reliable information to internal and external auditors, as needed
- Manage petty cash fund, fuel card, office expenses and all corresponding documentation
- Create and maintain forms, labels, timecards, documents, and other items for operational needs
- Perform core administrative duties including scheduling, copying, faxing, printing, laminating, answering/routing calls and preparing, distributing, and maintaining documents and files
- Maintain and support the DMI Lean Culture and the overall DMI Corporate Operational objectives
- Participate in Company events
SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:
- High school diploma or equivalent required
- Highly accurate and attentive to detail
- Utilize effective written and verbal communication skills
- Ability to deal with a variety of job assignments utilizing excellent time management skills
- Effective problem-solving abilities
- Proficient in Word, Excel, Outlook
- 1 year experience in ERP and AS400 Systems preferred
- Ability to maintain proper attendance and punctuality standards
