Job Description
The National Commercial Office Manager, reports directly to the Head of Operations and handles all support aspects related to our in-house order processing system (Discos II) including but not limited to; order processing, inventory management and control, month end closing, project review and margin management.
Responsibilities
- First level support and special training of end-users for Discos
- Assures data quality in Discos as well as in other commercial programs (PointOut etc.) and interfaces
- Supports improvement of operational proceedings in terms of efficiency and productivity
- Supports with acquisition of additional profit margin (through sales packages, pass-through deals, service charges, sales conversions, project conclusions, CCM, etc.)
- Ensures that the procurement of goods and services is coordinated with the Controller/CFO and Head of Procurement for the respective areas of responsibility within the signing authority limits and in compliance with the procurement guidelines.
- Analysis and realization of optimization potentials in Discos
- Active input in the further development process of Discos by working out change requests
- Short and medium-term operational support in subsidiaries as well as in local (sub)branches
- Plans and carries out regular audits to increase the quality of operational proceedings in the countries
- Evaluation of staff qualification and proposing measures for further staff development
- Active support of Discos rollouts in the subsidiaries
- Coordination of collaboration with the central specialist departments (esp. the central “CMO-DG” department).
- Monitors and reviews the physical inventory counts, and improves stock discrepancies.
- Creates, generates and distributes a large volume of spreadsheets and reports.
- Conducts in-house training of new employees on Doka internal programs (Discos 2 and Pointout)
- Manages month-end closure and Rental inventory valuation on country Level.
- Works with and conducts extensive training with Operations staff at the Branch level to aid their development and skills transfer relating to Doka systems.
- Supports year end audit topics pertaining to inventory movements, RIV, and inventory roll forward
Other Responsibilities/Peripheral Functions
- Extensive travel required with long periods of time spent in Branch locations (days/weeks)
- Other duties/projects as assigned; including participating in company committees/teams.
- Assists in ensuring safe working practices and a safe working environment.
- Complies with all corporate policies and business practices.
- Actively participates in facility/equipment management meetings as required.
- Travels to branch offices to assist with material management and work flow, identifies issues and recommends solutions.
- Process audits and enforces the continuous improvement process (CIP)
- Identifies inventory discrepancies and notifies the Americans Regional Operations team of all discrepancies using the proprietary software system in a timely manner.
Qualifications
- Bachelor’s Degree in Business preferred, concentration in Operations, Controlling, Logistics desired.
- 2- 5 years of recent Doka-related experience in administration, operations or logistics preferred.
- Facilitates projects and effectively manages multiple tasks.
- Excellent communication skills including an excellent command of English (speaking, reading, writing). Ability to communicate in Spanish is strongly preferred.
- Qualitative abilities including strong analytical skills possess strong numeric aptitude, technical proficiency and effective problem solving skills.
- Proficient using Microsoft Office applications; advanced Excel required.
- Possesses proficient auditing skills necessary to carry out local Branch Operations Audits..
- Excellent report writing and presentation skills.
- Willing and able to learn new computer systems, products, concepts and techniques.
- Able to work as an organized team player in a results-driven, fast-paced environment.
- Open-minded towards different cultural groups
- Awareness of responsibility and identification with function, team, employees and targets
