Position: Surgery Coordinator
FLSA: Hourly Non-Exempt
Job Responsibilities
- Prepare charts and contact patients 7 days in advance, providing pre-op instructions and confirming drops if needed.
- Ensure completeness of patient charts, including H&P, diabetic status, and pre-op regimen.
- Coordinate cataract surgeries between DLV and Specialty Surgery Center, completing surgical checklists and confirming lens orders.
- Manage cataract financial aspects, including collecting payments and coordinating insurance authorizations.
- Arrange transportation for patients and walk them through the day of surgery expectations.
- Review post-op instructions with patients and manage post-op chart documentation.
- Coordinate with ODs for post-op care and schedule second eye surgeries as needed.
- Prepare charts and contact patients 7 days in advance for LASIK and cash refractive procedures.
- Confirm pre-op requirements and review checklists with patients over the phone.
- Manage financial aspects of refractive procedures and walk patients through the day of surgery expectations.
- Coordinate post-op care with ODs and team members and manage post-op chart documentation.
- Communicate via email for general coordination needs, including reschedules and cancellations.
Education & Experience:
- Bachelor's degree in healthcare administration, nursing, or related field preferred.
- Previous experience working in a surgical or healthcare setting is highly desirable.
- Familiarity with ophthalmic procedures and terminology is an advantage.
- Proficiency in medical billing and insurance procedures is preferred.
- Certification in surgical technology or healthcare administration is a plus.
Knowledge, Ability, & Skills:
- In-depth understanding of ophthalmic surgical procedures and protocols.
- Proficient in medical terminology and documentation practices.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills for liaising with patients, surgeons, and healthcare staff.
- Detail-oriented with a focus on maintaining accurate records and ensuring compliance with regulatory requirements.
- Ability to work independently as well as part of a multidisciplinary team.
- Ability to handle stressful situations calmly and professionally.
- Commitment to patient confidentiality and privacy regulations.

Must be able to travel between all ADV locations in Paso, San Luis Obispo, and Santa Maria. Travel for this role is a requirement of employment.
