This position ("Shipping and Receiving Clerk / Administrative Assistant") will have two major responsibilities within the Draper 16th Street Facility as described below:
Shipping and Receiving Clerk: As an integral member of the Operations Department at the 16th street facility, serve as the Shipping/Receiving clerk and manage and maintain a compliant shipping and receiving system. The individual is responsible for the daily operation of the shipping/receiving area and will ensure compliance with Draper procedures, state, and federal regulations. He/she will need to exercise judgment based on experience and knowledge.
Administrative Assistant: Also, as a member of the Operations Department, perform the tasks of an Administrative Assistant supporting the Draper St. Petersburg 16th Street Facility and provide day to day operational support within the organization.
The 16th Street Facility is a complex environment that demands superior customer service, communication, and organizational skills.
Under minimal supervision, individual will provide varied administrative support to the site lead, program managers, security, technicians, and engineers of the facility.
Responsibilities:
Shipping and Receiving Clerk Duties
- Assembles orders and prepares goods for shipment.
- Receives, unpacks, inspects and stores incoming materials and supplies.
- Uses shipping records to verify the accuracy of incoming and outgoing shipments and orders.
- Documents damages and discrepancies for future reimbursement and reconciliation.
- Distributes mail/packages/chemistries to the employees or facility locations.
- Serves as a stakeholder for all shipping/receiving related audits interpreting all outcomes of the audit, suggesting, and reviewing any corrective actions.
- Acts as the liaison between shipping/receiving, requisitioners, onsite end-users as well as other functional areas to support the Draper mission.
- Ensures auditable records for Shipping/Receiving are maintained in accordance with Draper Shipping/Receiving Procedures.
- Inspects and maintains the physical condition of the Shipping/Receiving areas (including the loading dock) and all necessary operational equipment.
- Sets department goals and initiatives.
- Ensures excellent Shipping/Receiving customer service and communication.
- Responsible for the development and reporting of shipping/delivery metrics.
- Assist with storage room organization and upkeep.
Administrative Assistant Duties
- Assists with meetings and conference room reservations, including calendar maintenance.
- Escorts guests, visitors and maintenance personnel as required.
- Assists in providing administrative support for office moves and new hire desk spaces.
- Orders and maintains office and kitchen supplies.
- Performs other duties as assigned to meet the ongoing needs of the organization.
Qualifications:
- Ability to obtain a US secret clearance which requires proof of US citizenship.
- High school diploma and 3-5 years of related experience
- Candidate must demonstrate strong interpersonal skills, service oriented with the ability to work under pressure, be a self-starter, and work well with all levels of management and staff.
- Working knowledge of business software such as Microsoft Offsite Suite is required.
Preferred Qualifications:
- Associate degree or higher and 3-5 years of related experience
- Secret Clearance.
Physical Requirements:
- Some Lifting up to 50lbs may be required.
