Job Description
In this role you will work cooperatively with all staff in expediting the general flow of work pertaining to the office and programs. The Office Coordinator will perform receptionist and general office/clerical duties, facilitate administrative projects, and provide Local Help Desk (LHD) support by assisting local staff with technical troubleshooting needs. This role involves approximately 75% administrative duties and 25% Local Help Desk support.
Wage: $15.50
Location: Dungarvin Wisconsin, Madison Office
Scheduled Hours: 9:00 am – 3:00 pm | 30 hours per week
Core Responsibilities:
Ensure office functions are conducted efficiently and accurately.
Act as office receptionist by greeting all visitors and answering incoming phone calls.
Serve as primary administrative support professional for multiple managers and directors.
Oversee the use of office equipment and supplies.
Manage office budget.
Maintain office records and files.
Assist with new hire orientation.
Assist coworkers, managers, and directors in completion of administrative and clerical tasks.
Assist in the development and maintenance of office administrative systems and procedures.
Ensure timely submission of month-end information.
Assist with establishment of new user accounts and ordering of computer hardware for program managers and program directors in the respective local area.
Act as Local Help Desk (LHD) for staff, fielding IS-related questions and providing troubleshooting assistance related to software programs and devices.
Travel to local area programs on an as-needed basis to provide on-site technical troubleshooting support to staff (mileage is reimbursed and most programs are located approximately 30 minutes or less from the Madison office).
Qualifications
Must be at least 18 years of age.
Must have valid driver’s license and reliable vehicle.
High school diploma or GED certificate is required.
At least 2 years of related experience is required.
Must have intermediate knowledge of Microsoft Office 365, Word, Excel, and Outlook.
Experience with HIPAA compliance and handling of PHI is preferred.
