DYWIDAG is hiring a Sales Coordinator within our Post Tensioning and Repair & Strengthening division. ESSENTIAL FUNCTIONS
- Acts as coordinating support to Sales Managers and Project Managers to ensure that ongoing projects are completed on-time and under budget.
- Creates new projects within internal tracking systems and ensures all project information is accurate and included, as required by Sales Managers.
- Verifies all orders and change orders received have an acceptable DYWIDAG commercial agreement in place and proper sales tax exemption certificates are on file (if applicable).
- Collects required project documentation including tax details, lien or bonding documentation, certificates of insurance, etc.
- Monitors ongoing project tracking systems to ensure accuracy.
- Monitors customer order progress, taking responsibility that order is delivered to customer’s satisfaction.
- Completes any necessary required reports through our internal ERP system.
- Ensures project related information is current and accurate within our internal ERP tracking system.
- Maintains accurate sales data in our internal CRM System.
- Maintains accurate project/order file containing all documentation within shared filing system.
- Generates accurate invoices for all shipments and services within 48-72 hours (or per contract allowance).
- Reviews monthly equipment rental report and invoices leased equipment as defined in the lease agreement.
- Documents collection and process invoice credits as needed.
- Communicates professionally and effectively with internal and external project stakeholders in a timely manner.
- Generates and processes sales quotes and sales orders, including setting pricing as needed.
- Releases instruction to warehouse/s for sales order shipments.
- Generates Purchase Orders for non-stock special order items related to sales orders.
- Processes Purchase Orders once received and approve vendor invoices for payment.
- Responds to project customer inquiries accurately and in a timely manner.
- Performs other related duties as assigned.
REQUIRED EDUCATION AND EXPERIENCE
- Associate's degree or 3-5 years of related experience and/or training; or equivalent combination of education and experience.
- 2-3 years of construction sales/project coordination experience preferred.
- Experienced with MS Office - Word, Excel, Access, PowerPoint, and Outlook.
- Experienced with sales and customer service skills.

- Ability to utilize ERP and other database systems.
- Must be self-starting, efficient, and organized.
- Strong written and verbal communication skills.
- Capability to calculate figures and amounts such as discounts, interest, proportions, percentages, weights, volume, and common conversions.
- Problem solving skills required (define problems, collect data, establish facts, and draw valid conclusions).
- Active listening skills to understand variances in procedure relating to sales/project specific requirements.
- Ability to manage multiple tasks at one time.
TRAVEL REQUIREMENTS
- On rare occasion if a department meeting or training is scheduled, travel may be required.
PHYSICAL DEMANDS
- Prolonged periods of sitting, standing, laptop use, etc.
