What are the responsibilities and job description for the Administrative Coordinator position at ECP, Inc.?
ECP Incorporated is currently seeking an Aftermarket Administrative Coordinator who displays original thinking and creativity, generates suggestions for improving work, has the ability to define problems, collects data, designs work flows, and demonstrates attention to detail.
This person will provide administrative support to one or more senior level executives within the organization including the Aftermarket Administration Manager and the Aftermarket Sales Team. This is a cross-functional support role to the organization.
Essential duties and responsibilities include:
- Read and prioritize mail and email (when asked) by senior management;
- Organize and maintain filing systems, which includes automating current system and converting to digital
- Answer phones and assist with general inquiries, type correspondence, scan and make copies, generate reports as needed
- Work collectively with the President on executive and board meeting preparation and execution
- Work collectively with the EVP on strategic plan and board meeting preparation and execution
- Responsible for making travel arrangements for senior level executives: which includes itinerary preparation, flights, ground transportation, booking hotel accommodations and preparing meeting materials for trip
- Assist in making arrangements for industry trade conferences
- Coordinate and facilitate all Aftermarket Training classes
- Assist the Executive Vice President of Sales and Aftermarket Administration Manager in coordinating marketing campaigns, sales promotions, corporate business plans and strategic plans
- Maintain holiday mailing lists for customers and employees; order and distribute gifts as directed
- Distribute new agent information to appropriate personnel and track all agreements
- Assist sales department as requested
- Special projects as assigned
