Job Description
ESI is seeking a skilled Proposal Coordinator with experience supporting federal, state, and local government bid and proposal activities. The ideal candidate will play a critical role in our organization's business development efforts by coordinating and managing the preparation and submission of government bids and proposals. The Proposal Coordinator will collaborate with various teams and stakeholders to ensure the timely and accurate completion of high-quality proposals that meet client requirements and align with our business objectives. This is a full time, remote position.
Responsibilities:
- Coordinate and manage the end-to-end process of preparing and submitting government bids and proposals.
- Collaborate with cross-functional teams, including sales, technical experts, subject matter experts, and legal, to gather necessary information and inputs for proposals.
- Review and analyze government solicitation documents to understand requirements, evaluation criteria, and submission guidelines.
- Develop and maintain a comprehensive proposal schedule, ensuring all deadlines are met, and stakeholders are informed of their responsibilities and timelines.
- Conduct proposal kickoff meetings to outline proposal requirements, assign tasks, and establish a clear understanding of the proposal strategy and win themes.
- Work closely with technical and subject matter experts to develop compelling and compliant proposal content.
- Edit, proofread, and format proposal documents to ensure clarity, consistency, and compliance with solicitation requirements.
- Create and manage a centralized repository of proposal content, templates, and reusable materials.
- Coordinate and lead proposal review meetings, incorporating feedback from various stakeholders to enhance the quality and competitiveness of the proposals.
- Conduct thorough quality control checks to ensure the accuracy and completeness of all proposal components.
- Maintain knowledge of current government procurement trends, regulations, and best practices to continually improve proposal processes and strategies.
- Support the development and maintenance of pre-proposal materials, such as capability statements, past performance references, and pricing templates.
- Assist in the preparation of post-submission activities, including debriefings and lessons learned sessions.
Experience Requirements:
- Bachelor's degree in a relevant field or equivalent work experience.
- Proven experience (5 years) as a Proposal Coordinator or similar role, specifically in government bid and proposal processes.
- Solid understanding of government procurement regulations, including Federal Acquisition Regulations (FAR) and agency-specific guidelines.
- Proficiency in proposal development methodologies and best practices.
- Strong project management skills with the ability to handle multiple proposals concurrently.
- Excellent written and verbal communication skills, with exceptional attention to detail.
- Proficient in using proposal management tools and software.
- Ability to work collaboratively with cross-functional teams and stakeholders, including senior executives.
- Strong organizational and time management abilities, with the capability to meet tight deadlines.
- High level of professionalism, integrity, and confidentiality.
Preferred Qualifications:
- Certification in Proposal Management (e.g., APMP, Shipley).
- Experience working with government agencies at the federal, state, or local level.
- Familiarity with CRM systems and databases.
