What are the responsibilities and job description for the Retail Licensing Supervisor position at EG America LLC?
Position Summary: The Licensing Supervisor will manage the business licensing function for the organization from initial application through annual renewal for, but not limited to, general operational licenses, alcohol, tobacco, fuel, WIC, alarm systems, food service and others. This includes managing and maintenance of the licensing system, partnering with store locations to ensure licensing specifications are met.
Responsibilities:
- Review and approve new license applications and renewals prepared by the licensing coordinators for submission to jurisdictions.
- Act as licensing system administrator and ensure all licensing requirements are met to comply with federal/state laws.
- Ensure a calendar of license renewal dates is established, forecast payments and track payments in the license system.
- Manage the process of uploading gross receipts sales data from Business Objects for license applications and renewals.
- Ensure all license applications and renewal forms are filed with the appropriate licensing jurisdictions.
- Manage the process for license fee payments. Prepare payment files for upload, review and approve utilizing the licensing system. Acquire approvals for payments in accordance with internal control requirements.
- Manage the License Coordinators maintenance of license documents, renewal notices, correspondence, and payment documents in electronic form in the licensing system and hard copy files for all stores.
- Ensure copies of applications, licenses, renewal notices, payments, statements and correspondence are filed in a logical sequence.
- Ensure that documentation in the file meets Tax Department standards and requirements. Provide documentation for internal and external audits.
- Respond to internal requests for business license information.
- Provide assistance to any store that may need time sensitive documentation regarding business licenses.
- Supervise and coach direct reports in the performance of their duties; complete performance reviews and provides feedback to direct reports.
- Other duties as designated by department manager.
Working Relationships: Works closely with cross functional departments including IT, Human Resources, Risk Management, and Retail Field Management. Must have the ability to communicate effectively and frequently with all levels of the organization.
Minimum Education: Bachelor’s Degree in related field
Preferred Education: Bachelor’s Degree in Accounting, Finance, or related field
Minimum Experience: 2 years’ experience managing a team of direct reports. Experience with automated accounting and information processing systems. Experience with Business Licensing software. Corporate or consulting business licensing experience.
Preferred Experience: 5 years’ experience managing a team of direct reports. Experience with automated accounting and information processing systems. Experience with Business Licensing software. Corporate or consulting business licensing experience.

Other Requirements:
Hours & Conditions: Monday – Friday 8:30am-5pm with flexibility with start/end times. Position is a hybrid role requiring 3 days in office with flexibility on days of the week.

Travel: As needed (less than 10%) may require occasional travel for business meetings and/or conferences.
Physical: This is a sedentary role requiring sitting for more than 50% of the shift
