We are seeking a professional and caring individual to join our team as Client Relations Coordinator. This individual will be responsible for creating a warm, welcoming environment for clients as their first point of contact and as a liaison between clients and their attorney-led team. He or she will be responsible for fielding questions from clients and relaying important information internally to team members. An essential function of this role is to oversee all matters for their team to ensure that individual matters are progressing through our 5-step Estate Planning process as expected.
The ideal candidate has strong customer service experience, effective communication skills and a desire to exceed expectations and play a pivotal role in the client experience. Responsibilities also include cultivating a positive company culture, helping paralegals and attorneys prepare for client meetings, maintaining internal scheduling systems, and performing general clerical tasks.
Job Duties
Welcome and complete intake of new clients and serve as the first point of communication
Act as liaison between clients and their legal team and guide clients through the estate planning process
Create, manage, and update legal files and case statuses in a case management system
Maintain weekly contact with clients and schedule appointments on multiple calendars
Assist in billing and posting client payments
Assist in compilation of weekly reports and audit of client files
Ability to prioritize tasks while overseeing multiple client matters
Other projects and duties as assigned
Desirable Qualifications
2 years of customer service or related experience in a professional office environment
Capable of maintaining strict privacy and confidentiality standards
Excellent verbal and written skills using phone, text, and email communications
Friendly disposition and helpful attitude
Able to learn new computer software quickly
Detail-oriented
Self-motivated and enthusiastic about learning new things
Ability to work independently and stay on task
Good organizational and time-management skills
Legal experience a plus, but not required
Pay Range
$20.00 per hour DOE
36-40 hours per week. Regular hours will be Monday-Thursday 8am-5pm and Friday 8am – 2:30 pm.
