As Office Manager, you will be expected to oversee and ensure a smooth management for the office at all times. The successful candidate will possess strong analytical & organizational skills, a desire to increase the productivity and amazing communication skills. This position will work closely with CEO, agents and all staff as well as Element Realty office and vendors. Must have great communication skills, ability to problem solve, think fast and outside of the box, have attention to detail and be deadline oriented.
Requirements for the position:
Ability to multi-task, prioritize, and perform a variety of concurrent tasks with minimal direction.
Attention to detail, organization of files/paperwork/accounting.
Must be able to maintain confidential information.
Constant conversation/communication with staff and agents as well as communication with vendors and clients as needed.

Qualifications:
- Leadership: Serve as a strong leader, overseeing and managing daily office operations with a focus on efficiency and excellence.
- Vision Execution: Work closely with the business owner to execute their vision and strategies, ensuring alignment with company goals.
- Team Supervision: Lead and supervise our active staff and team members, fostering a collaborative and high-performing work environment.
- Communication: Maintain open and effective communication channels within the office, encouraging transparency and feedback.
- Process Improvement: Identify opportunities for process improvement and implement effective solutions to enhance office efficiency.
- Problem Solving: Address and resolve operational challenges promptly, demonstrating adaptability and a proactive approach.
- Bilingual: Fluent in English and Spanish communication
Essential Duties and Responsibilities:
Daily morning accountability check in between
Prepare and participate in our team coaching calls and activities.
Model our Mission Statement and values in your daily activities.
Prospect for the team while out in the community.
Supervise administrative staff and provide training and development opportunities
Strong leadership skills with the ability to motivate and guide a diverse team.
Maintaining Staff/office harmony
Ensure all files are being worked and maintain a digital file/record
Coordination of important dates
Ensure all deadlines are met
Manage referrals - incoming and outgoing
Interview and make hiring recommendations, staff reprimands, training
Enter receipts in Quickbooks
Oversee office budget and expenses
Assist in event planning and coordination
Invoicing for Concierge Services
Maintain office supplies inventory and place orders when necessary
Manage vendor relationships and negotiate contracts
Process checks and mail
Keep CEO's calendar
Experience:
Proven experience in office management or a similar role
Strong organizational skills with the ability to prioritize tasks effectively
Proficiency in using QuickBooks or similar accounting software
Excellent communication skills, both written and verbal
Ability to multitask and work well under pressure
Experience in supervising staff members

Expected hours: 32 – 40 per week
