Responsible for managing the administrative support functions for the Professional Services area.
How will you make an impact?
- Work directly with the CEO to support all aspects of his/her daily work routine.
- Maintain the CEO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Serve as a liaison between the CEO, Executive, staff, and the public. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
- Coordinate work with the executive team and other staff as needed; play a key role in the coordination of staff efforts both within and outside the department
- Maintain current and organized files of various documents and retrieve necessary files upon request.
- Schedule/attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Create and maintain presentation overheads, graphic disks, and handouts of divisional Professional Services and administrative presentations.
- Designs, implements and maintains the divisional new employee orientation manual. Oversee supply ordering, inventory, and maintenance system.
- Oversee the organization and maintenance of the divisional resource center. Handles strategic, confidential corporate, and divisional data.
- Provide assistance within the department and perform special projects and assignments specific to the department within the time frames established.
- Evaluates projects for cost, resources, and supplies. Hires, trains, coaches, counsels, and evaluates the performance of direct reports.
- Serves as a primary point of contact between the Office of the CEO and governance groups, including helping to coordinate the work of the different groups and providing administrative support for governance meetings.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Minimum requirements:
- Requires a High School diploma or equivalent and a minimum of 2 years of administrative services supervisory or leadership experience including leading/directing work of others; or any combination of education and experience which would provide an equivalent background.
Preferred Skills, Capabilities, and Experiences:
- Knowledge of administrative services operations and understanding of business operations. Administrative services certification preferred.
