What are the responsibilities and job description for the Operations Assistant position at Ellie Mental Health?
- Work closely with the HR department throughout the clinician onboarding process to ensure new clinicians have an organized and welcoming experience and are prepared to participate in Ellie operations.
- Communicate with new clinicians during onboarding process to obtain important information necessary to assist in creating profiles.
- Manage Ellie Match tool, creating and updating clinician profiles during new hire onboarding and over time.
- Manage users and provider profiles in Electronic Health Record (EHR). Adding, updating, and removing, as necessary.
- Removing termed clinicians from Ellie Match and Valant, keeping systems current
- Obtain and communicate provider schedules and intake availability for new clinicians in a timely manner (caseload management)
- Assist Operations Manager/Credentialing Specialist with provider credentialing and re-credentialing processes for all new and existing clinical staff, including clinical psychotherapists, psychologists and medication management providers in CAQH, PECOS and MCC
- Ensure credentialing status is accurately communicated to Client Access Team through Ellie Match tool.
- Run reports in various systems (EHR, Ellie Match, etc.) to provide data to Operations Team
- Assist in the clean-up and roll out of a new intranet.
- Support clinical leaders with administrative needs, as necessary.
- Work collaboratively with the Operations Manager to suggest areas for improvement related to clinician productivity, credentialing, billing, scheduling, and EHR processes.
- Assist with clinician operations projects as appropriate.
- Ability to accurately organize and coordinate information.

- High School Diploma or GED
- 1-3 years experience in a general business environment with administration experience.
- Healthcare or Mental Health Care administrative experience strongly preferred.
- Proficiency with Microsoft Excel.
- Experience working with Electronic Health Record is preferred.
- Experience or strong working knowledge of the credentialing process is preferred.
- Must be able to remain in a stationary position 50% of the time.
- Consistently uses a computer and/or other office equipment.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
