Established in 1983, Epilepsy Foundation New England, Inc. (EFNE) is a 501(c)(3) nonprofit organization with a mission to improve the quality of life of people living with epilepsy and their families.

The Office Manager is responsible for managing EFNE’s office in Lowell, Massachusetts and providing the administrative support required to successfully manage EFNE. EFNE is a dynamic, growing, mission-driven agency. As EFNE evolves, the specific duties of the Office Manager will evolve as well.

The Office Manager’s schedule will require that at least a portion of each week be spent working on site in the Lowell, Massachusetts office. EFNE otherwise supports a hybrid working environment, with most of its staff working remotely most of the time. On occasion, attendance at various EFNE events on weekends and evenings will be required with advance notice.

Current Duties:

  • Provides accounting, record-keeping, and other support as needed to support the accounting firm that assists EFNE in managing its accounting, financial statements, and payroll function.
  • Provides support for onboarding and other human resource needs.
  • Provides on-site support for EFNE including collecting mail, coordinating purchase of office supplies and equipment, coordinating maintenance of office equipment, and being the liaison to EFNE’s landlord.
  • Supports EFNE’s administrative, communication, and office support systems including phone and informational technology contractors.
  • Coordinates and calendars key meetings, agendas and assemble materials for CEO, COO, Board of Directors, Professional Advisory Boards, and other key EFNE teams.
  • Provides logistical support for meetings and events at the Lowell office.
  • Acts as a resource to the EFNE team, including performing data entry on occasion.
  • Participates as needed in special projects.

Experience and Competencies: It would be helpful to have demonstrated work experience in at least three of the following areas:

  • ADP or other payroll systems.
  • Accounts payable and receivable.
  • AmeriCorps (as a member or working for a grantee).
  • Bill.com.
  • Excel.
  • Preparing financial statements
  • Salesforce
  • Working with people with disabilities.
  • It would also be helpful to be strong in these areas:
  • Taking Initiative.
  • Time Management (i.e., able to juggle multiple responsibilities).
  • Attention to Detail.
  • Follow-though.
  • Oral and Written Communication Proficiency.
  • Organizational Skills.
  • Independent Worker.

Supervisory Responsibility: This position may assist EFNE in managing its volunteers and AmeriCorps members.

Work Environment: As noted above, this position requires that at least a portion of each week be spent working on site in the Lowell, Massachusetts. EFNE otherwise supports a hybrid working environment, with most of its staff working remotely most of the time. On occasion, attendance at various EFNE events on weekends and evenings will be required with advance notice. This role routinely uses standard office equipment such as computers, phones, and filing cabinets.

Physical Demands: The physical demands described for this position are representative of those that must be met by an office employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work: This is a full-time position. As noted above, some evening and weekend hours are required and will be scheduled in advance, collaboratively.

Travel: Local and regional travel will be needed at various times, with mileage to be reimbursed at the prevailing IRS mileage reimbursement rate.

Required Education: Associate’s Degree.
