What are the responsibilities and job description for the Collateral Document Specialist position at EPM?
Maintain the day-to-day operational support of EPMs collateral documentation. Duties include document review for accuracy, analysis, monitoring and coordination of collateral documentation.
- The position will be required to complete daily tasks which will be evaluated for efficiency and accuracy.
- Knowledge of mortgage documentation
- Create FedEx labels for each bank and investor.
- Request notes in Warehouse bank portal
- Updating status of collateral for each warehouse bank
- Check warehouse reports – notes received/wet/dry - understand exceptions and make sure that they are cleared.
- Match warehouse reports with manifests previously sent and address any discrepancies.
- Manage the USBANK custodian report along with our tri-party warehouse lines.
- Follow up on packages for closing within 48 hours; send emails to title companies when packages are not received.
- Making sure Encompass has the full package uploaded in e-folder then shredding the packages.
- Check closing packages for original Deed/Mortgage and final policies.
- Batch investor tracking number for all loans
- When packages are received, log in the note, review for accuracy, verify investor and confirm.
- Ship notes from the previous day that did not have a warehouse bank then.
- Request notes warehouse bank for document corrections
- Monitoring the emails from Ginnie department and Capital Markets to make sure that investors are accurate as per sale.
- Shipping notes to the correct warehouses; preparing the manifest; emailing custodian copies of notes and manifest and requesting confirmation.
- Monitoring the notes sent to custodian as TBD to make sure that they are ready for release.
- Requesting the release of notes with specified investors and agencies.
- Monitoring the shipment of notes to non-regular aggregators (s&d).
- Email daily Mortgage Loan Summary to Custodian at the end of day.
- Sign and notarize affidavits.
- Reporting on daily production.
- Adhere to all company policies and procedures.
- Perform other duties as required.
To Perform this job successfully, an individual must have the following education/ experience/abilities:
- High School Diploma or GED
- A minimum of 1 year administrative support experience and familiarity with mortgage industry and related documents.
- Detail oriented
- Ability to work independently and as part of a team.
- Ability to work in a fast-paced environment.
- Excellent communication skills both verbal and written.
- Basic understanding of Encompass LOS preferred.
- Competency in Microsoft Office applications including Excel.
