POSITION SUMMARY:
The Program Support Specialist promotes the independence, stability, and health of clients of Equitas Health by providing administrative support for Housing Advocacy, Health Advocacy, HIV/STI Prevention, and Buckeye Regional Anti-Violence Organization staff.
SALARY RANGE: $31,100-$40,200
ESSENTIAL JOB FUNCTIONS:
The position is responsible for administrative office duties, data collection, spreadsheet management, quality assurance, utilization review, and support of the Programs department and sub-departments within the organization. Managing multiple tasks and prioritization are essential.
MAJOR AREAS OF RESPONSIBILITIES:
- Assist with program specific and general support, including but not limited to maintaining records and electronic databases, correspondence, scheduling, supply orders, data entry, and filing.
- Prepare a variety of written materials (e.g. correspondence, memos, fiscal and statistical reports, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Collect and maintain data related to supervision, training, grant writing, staffing, and quality improvement purposes. Uploading data into electronic portals such as ETO, HMIS, and PPL.
- Maintaining logs for licensed staff supervision and training hours. Creating reports to submit to funders and licensing boards.
- Uploading documents containing protected health information to ETO and EPIC software with sensitivity to HIPAA guidelines.
- Monthly review of program specific information on agency intranet and Equitas Health’s website for accuracy and upkeep as needed.
- Supply ordering for special events and projects. Tracking of invoices and purchase orders.
- Assist with client transportation assistance processes by tracking utilization of bus passes, gas cards, and Uber Health.
- Assist with preparation for funder audits and monitoring visits.
- Managing department meetings through scheduling, creating agendas, supporting guest speakers. Arranging location and physical space set ups and taking meeting notes when needed.
- Providing input and relevant feedback on policy and procedure development to Programs Operations leadership. Assist in writing standard operating procedures.
- Demonstrate unconditional positive regard to all Equitas Health clients, staff, and stakeholders. Conduct all aspects of job responsibilities with a focus on exceptional customer service.
- Continuously grow and develop cultural humility; exhibit an understanding, awareness, and respect for diversity.
- Return client, provider, and other stakeholder correspondence (phone, paper, electronic, fax, etc.) within 2 business days.
- Collaborate with others on the Program Support Specialist team on agency and department projects.
- Other duties as assigned.
EDUCATION/LICENSURE:
- Minimum of high school diploma or equivalent required.
- Strong written and verbal communication skills required.
Knowledge, Skills, Abilities and other Qualifications:
- Knowledge of HIPAA and Electronic Health Record systems preferred.
- Knowledge of housing, healthcare, and/or social work practices preferred.
- Must have sensitivity to, interest in and competence in cultural differences, HIV/AIDS, minority health, sexual practices, and a demonstrated competence and interest in working with persons of the transgender, non-binary or gender non-conforming community
- Proficiency in all Microsoft Office applications and other computer applications required
- Proficiency in social media platforms preferred.
- Reliable transportation, driver’s license and proof of auto insurance required.
- Regular and predictable attendance is required.
