The HIMS Specialist is responsible for picking up discharged patient medical records from designated areas within the hospital, preparing documentation for scanning into the legal medical records following a set protocol, analyses documentation to assure the record is complete through quantitative and qualitative analysis and assigns relevant deficiencies.
Performs physician suspension process. Processes paper medical records. Requests and returns medical records from / to off-site storage facilities.
Releases protected health information according to HIM Policies and Procedures and State and Federal regulations. Accessing the transcription system to print / send requested reports to nursing units, assist physicians with electronic chart completion, answers telephones and direct calls.
Prepares end of shift reports using Excel. May be required to work occasional weekends and holidays as scheduled or a different shift or hours to meet operational needs of the department.
1. Demonstrates and maintains technical competencies (i.e., meets monthly productivity as demonstrated by analyzing an average of 100 records per day with zero (0) level 3 errors as demonstrated on monthly QA audits.
Meets monthly productivity by prepping 20 IP and 50 ED records per hour. Maintains all other work queues to meet the operational needs of the department and the facility.
Meets ROI productivity as demonstrated by processing all request within 15 days of receipt. Meets QA standard as demonstrated by the ability to process ROI authorizations with zero (0) errors and submit a denial.
a. Proficient computer skills (i.e., uses the correct application Word, Excel, PowerPoint, Outlook for the task, generates documents using proper grammar / punctuation, sends and receives e-mail.
2. Demonstrates composition / writing skills (i.e., drafts e-mails and documents (ie) end of shift reports), accurately, proofreads own work, demonstrates proper grammatical structure, spelling, punctuation and compositional style.
- 3. Demonstrates teamwork and supports department operations (i.e., proficient understanding of department's role within the Hospital and operations;
- Understands Hospitals mission, vision, values, and goals and general operations ; anticipates needs; supports department managers and staff in performing their work;

Advanced computer skills including Microsoft Windows, Word and Excel - Required Attention to detail in order to differentiate text and numeric sequences - Required Experience performing inpatient analysis and / or release of information in an acute care Health Information Management Department.
