Position Overview:
The Office Manager of the Alder Brook clinic plays a crucial role in ensuring the smooth and efficient operation of the office and supporting the delivery of high-quality healthcare services to patients. This position combines administrative and managerial responsibilities to oversee the practice's daily operations. The Office Manager is responsible for coordinating administrative and clinical tasks, managing staff, and fostering a positive and welcoming environment for patients and employees.
Essential Job Functions:
- Administrative Management:
- Oversee the daily administrative and clinical operations of the primary care practice.
- Manage patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.
- Maintain and update office policies and procedures as necessary.
- Handle and resolve patient complaints or concerns in a professional and timely manner.
- Staff Supervision and Training:
- Train, supervise, and evaluate office staff, including receptionists, medical assistants, and other administrative personnel.
- Provide guidance, support, and performance feedback to staff members.
- Coordinate staff schedules and ensure adequate coverage for all necessary tasks.
- Foster a positive and collaborative work environment, promoting teamwork and professional growth.
- Regulatory Compliance:
- Stay up-to-date with relevant laws, regulations, and accreditation standards (e.g., HIPAA, OSHA).
- Ensure compliance with applicable regulations in all aspects of practice operations.
- Maintain accurate and complete documentation to support regulatory compliance.
- Patient Relations and Customer Service:
- Develop and maintain positive relationships with patients, providing exceptional customer service.
- Address patient inquiries, concerns, or complaints promptly and professionally.
- Collaborate with healthcare providers to ensure patients receive timely and appropriate care.
- Implement strategies to enhance patient satisfaction and engagement.
- Technology and Systems Management:
- Collaborate with IT to troubleshoot technical issues and ensure system functionality.
- Train staff in the effective use of technology systems and tools.
Qualifications:
- Bachelor's degree in healthcare administration, business management, or a related field (preferred).
- Proven experience in office management or healthcare administration.
- Strong knowledge of healthcare operations, regulations, and compliance.
- Excellent organizational and multitasking skills.
- Exceptional interpersonal and communication skills.
- Proficiency in using practice management software and EHR systems, eClinicicalWorks experience a plus.
- Ability to lead, motivate, and manage a diverse team.
- Attention to detail and a commitment to maintaining confidentiality.
- Strong problem-solving and decision-making abilities.
