About the role
Factorial Energy is seeking an eager Office Coordinator / Receptionist to undertake a variety of day-to-day office and administrative tasks. This person will be an integral part in ensuring that our office operations run smoothly and a first point of contact to visitors, employees and vendors.
Our ideal candidate is an organized, detail-oriented, and competent professional with phenomenal communication skills. They will be comfortable multi-tasking and able to carry out administrative and facilities duties with accuracy and speed
This position will report to the Senior Director of Operations at our headquarters located in Woburn, MA.
Responsibilities
- Greet and direct visitors, ensuring guests are comfortable and are connected with the right individuals
- Ensure lobby, conference rooms, kitchen, and break rooms are kept tidy and are stocked with snacks and beverages
- Coordinate catering orders for staff breakfasts, lunches, other events
- Manage and be familiar with conference room booking system
- Monitor and order inventory for office and break room supplies
- Manage incoming and outgoing correspondence, including emails, faxes, mail, packages, and answering the phone
- Assisting in office decoration and event planning as needed
Qualifications
- 1-2 years experience in an administrative position
- BA/BS degree is preferred
- Advanced experience with MS Office, Outlook, and Word
- Strong organizational skills and ability to multitask is required
- Ability to prioritize competing tasks is essential
- Excellent written and spoken communication skills
