The purpose of this position is to provide support and help promote recreational, social, cultural, and entertainment values designed to enrich the quality of life and enhance the vibrancy of the Community for its residents. General responsibilities encompass customer service, activity office business operations support, assist with special events, club events, fitness center management (where applicable), amenity use, facility programming and scheduling, and overall program promotion and publicity. This is a part time position.

Essential Duties and Responsibilities:

The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.

  • Assist activity office with resident programs, classes and special community-wide events, ticket printing and event sign up, including setting up and working evening events.
  • Provide copy and faxing services for residents with discretion and respect for personal information.
  • Maintain resident bulletin board
  • Monitor room use needs, set up and rentals – computer skills are a must.
  • Coordinate Blood Drive
  • Keep activity office and storage areas organized and fully stocked with supplies.
  • Provide excellent customer service to our members and guests and assist with ticket sales and front counter operations, along with volunteer scheduling and training.
  • Perform clerical duties such as light recordkeeping (daily accounting and deposit), answer telephone, filing, operate cash register, fax and copy machines.
  • Assist with food service when necessary. *Candidate will be required to obtain a food handler card.

Additional Duties & Responsibilities:

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

Education:

  • A high school diploma or equivalent.

Experience:

  • Customer service experience necessary. Food service experience helpful. Prior experience with active adult programs a plus.

Knowledge, Skills, & Proficiencies:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  • Should possess general knowledge of skills defined within content of job description along with general computer experience with basic knowledge of Microsoft Office programs a must. Adobe creative software skills are a plus.
  • Should possess a high level of energy, social skills, initiative, enthusiasm, and cooperation, and exercise good judgment and discretion.
  • Will be accountable for individual performance, equipment, supplies, product quality and safety.

Tools & Equipment Used:

  • Office Equipment to include copier, fax machine, cash register, ticket printer, computer.
  • Proficient in use of Outlook, Word, and Basic Excel.

Physical Requirements/Working Environment

  • Capable of working extended hours, to include weekends and holidays as necessary
  • Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed
  • Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities
  • Must be able to sit, stand, and/or move throughout the day, and transport oneself around the office, amenities, and facilities.
  • Must be able to alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting
  • Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills
  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances
  • Must be able to work effectively and cheerfully in an environment that may be stressful due to adversarial situations resulting from the proper performance of duties
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.

Travel:

  • Occasional travel to Regional offices for meetings may be required.

Salary : $28,800 - $36,500
