What are the responsibilities and job description for the Human Resources Generalist position at Florida Technical College?
The HR Generalist will be reporting directly to the HR Manager and dotted line to the VP of HR, providing assistant to Department Managers, Executive Directors and to all staff members in NUC FTC. This position requires the incumbent to manage sensitive and confidential information. Exercise good judgement while dealing with concerns from employees or providing advice to management. Manage high volume of calls or emails and respond accurate and in a timely manner. This position requires to have an effective problem-solving skills and be proficient in systems, including the use of ADP and MS Office. Strong time management and ability to operate under pressure with effective communications skills.
Minimum requirements:
- Bachelors Degree in Management – Minor in Human Resources
- At least 3 years as generalist in a similar position
Main functions:
Payroll
- Responsible to process all documentation for new hires to pay them accurate and on time
- Prepare headcount, turnover reports, or any ad hoc report for management
- Reconcile invoices vs headcount for eligible benefits to process payment and provide supporting documentation on a monthly basis
- Responsible to manage time and attendance for all employees in payroll, coordinate missed punches, train new and existing employees or managers in the Time and Attendance Platform. Manage and escalate with HR Manager any deviation to solve any issues.
- Responsible to enter any data related to payroll, new employee or changes related to payroll
- Check the accuracy of the information provided in the W2 and update addresses
- Ensure deductions of payroll for any eligible benefit and maintenance of the benefits module
- Upload any documentation to the share folder
Benefits
- Responsible to coordinate new hire documentation to enroll on benefits and approve changes
- Responsible to perform New Hire Orientation – Onsite or Virtual once a month
- Responsible to process all documentation for the enrollment of the benefits for existing employees
- Active participation in the annual benefit renewal process from coordination with broker to execution of the initiative to make sure of the awareness of the changes
- Manage COBRA process to ensure compliance for new, terminated employees or any qualifying event or changes in law and regulations
- Responsible to promote monthly orientation of the Retirement Plan to increase participation, increase percentages of participation and promote for newly hired employees
Indirect functions:
Recruitment
- Post ads in ADP Career Center in the social media available and in any other job board available to promote and receive talent for vacant positions
- Retrieve resumes and qualify them according to job minimum requirements and experience and refer them to hiring managers
- Schedule the HR Interviews and refer qualified candidates to the business units
- Support the recruitment process including the invite to the background and drug tests and its follow up
- Participate in Virtual and Onsite Job Fairs to promote and interview candidates
General
- Provide support the HR Team and to support any requirement from the HR Corporate Office in Puerto Rico or Department
- Provide assistance with phone calls or any written correspondence or emails
- Support any HR initiative as being part of the Team
