What are the responsibilities and job description for the Assistant Manager position at FoCo Cafe?
Summary:
The part-time Operations Assistant is fully trained on the basic functions of the entire Cafe and can effectively facilitate front-of-house operations (with operations and kitchen management staff on premises for support).
This is a part time role with room for professional growth and scheduling flexibility.
Hours and Availability: In-person availability for 2-3 weekdays (6-7 hours from 8 am, 2 pm with 2 hours of flexible external tasks) and Saturday availability starting in October 2022. 18-25 hours weekly.
Basic Functions:
Supporting Operations Management: (1-3 days per week at 6-8 hours per day):
- During pre-lunch service shift (8:00-11am):
- Greeting, orienting, and training volunteers (both walk-ins and scheduled).
- Train and delegate volunteer help with the dining room and patio set up and supporting kitchen staff with food prep.
During Lunch Shift (11am-2pm)
- Stay at the podium to take payments, greet guests, and be a point of contact for people who want to learn more or get involved with FoCo Cafe.
- Manage 1-6 volunteers as they complete restocking, serving, and cleaning tasks throughout the lunch service.
Basic Functions:
- Monitors and ensures the indoor and outdoor appearance of the cafe is clean, safe, and well-maintained.
- Monitors and maintains the basic operation and function of the facility and communicates with the Executive Director, Chef, and Board Members about perceived maintenance and improvement needs.
- Serves as the primary point of contact for daily volunteers. Trains and directs volunteers to each of the necessary tasks. Ensures volunteers understand the volunteer policies and completes volunteer form.
- Serves as point of contact for farm representatives, vendors, and other community partners who deliver goods. Provides donation receipt for goods provided.
- Is aware of volunteer needs and knows the scheduled number of volunteers to arrive each day.
- Adds daily volunteer shifts to Every Action weekly.
- Checks in daily with Executive Director to get any updates or information that would impact daily activities.
- Works daily with volunteers to follow the “Description of Routine Cafe Maintenance and Duties”.
- Takes on volunteer duties when others are not available.
- Provides exemplary customer service to guests and works as a team member with the rest of staff and volunteers.
- Is the point person to assign tasks to those who need to volunteer in exchange for their meal.
- Cleans cafe, puts items, and food away before closing cafe.
- Sends “End of Day” report to Executive Director daily or weekly.
Other Duties:
- Updates website of upcoming events, closure days, etc.
- Picks up weekly flowers, drops of vases to be filled at end of week
- Drops off and picks up laundry from laundromat
- Writes and mails thank you cards for monetary donations
- Contacts local businesses for donation requests
- Shops for cleaning supplies
- Accepts and sorts donations received for Giving Tree, Kindness Cupboard, and Freedge.
- Contacts City of Fort Collins Maintenance Department regarding maintenance needs for cafe.
- Accepts payments, handles cash, and creates deposits. Takes weekly deposit to bank.
- Operates NoCo Nosh tablet
- Answers cafe phone calls
- Updates spreadsheets regarding meals served, volunteers, donations received, dishwasher hours, budgeting, etc.
- Updates and posts to social media platforms
- Participate in fundraisers throughout the year.
- Help the team when needed and available (someone out sick, etc.)
Required Qualifications, Skills, and Abilities:
- Leadership/delegation experience preferred.
- Past volunteer or work experience in food security, housing, or other social work-related fields.
- Proficiency with computers, especially basic Google workspace functions.
- Commitment to quality “customer” service to both guests and volunteers.
- Strong organization and communication skills.
- Experience handling money, taking payments, compiling end of day deposits and making weekly cash deposits.
- Experiencing interacting with community members as an ambassador for an organization or business, desirable but not required
- Flexibility in a fast-paced environment.
