Position Summary:
The AR Manager is a leader of the AR and Collections team. This role contributes to the success of the company by overseeing, supporting, and optimizing the daily functions and professional development of their core team members. The AR Manager supports our growth vision by optimizing cash flow through timely and accurate customer invoicing, AR general ledger account integrity and payment collection of customer balances.
The AR Manager is a hands-on management position to develop the skills and desired characteristics of a strong, future senior leader.
Additional Information:
- This is a permanent, full-time salaried position
- This position would participate in our hybrid schedule at our headquarters office
- Our headquarters office is located in 7630 Biscayne Blvd., Miami FL, 33138
- Our hybrid schedule is Monday & Friday; 2 days working remotely. Tuesday, Wednesday & Thursday; 3 days working in the headquarters office.
Major Duties Include:
- Meets with and reports regularly to the Global Controller and VP of Finance on assigned responsibilities.
- Manages the full AR and collections process for FOH entities based in the US and abroad to ensure timely collection of customers’ outstanding balances.
- Ensures accurate and timely daily invoicing for all FOH entities and investigates team member and system issues when invoicing fails in SAP.
- Ensures the daily posting of incoming payments including remote check deposits, credit cards, and wire/ACH payments.
- Engages with and assists finance, sales, and customer service team members with prepayments, the use of our credit card portal and researching payment postings.
- Manages the integrity of balance sheet accounts for AR balances and Customer Deposits, including the proper posting of AR adjustments, AR chargebacks, payment discounts, customer rebates and tax adjustments.
- Ensures the optimal use of Avalara/Avatax software to properly apply sales taxes and exemptions to customer accounts.
- Defines and enforces SOPs related to customer credit limits, escalating collection strategies and bad debt write-off.
- Works with internal departments and clients to regulate and resolve hold/release of sales orders.
- Participates in month end balance sheet reconciliations for AR related accounts as well as bank and CPA audits.
- Ensures all customer invoicing portals are actively managed to prevent past due accounts related to invoice issues.
- Creates and reviews AR reports to ascertain the status of collections and balances outstanding and reduces collection cycle times (DSO) where possible.
- Ensures proper use of the credit application workflow in HubSpot.
- Balances both the results and culture success of the team by effectively interviewing, selecting, onboarding and training new team members.
- Provides training, coaching and inspiration to impact team member development and attainment of annual goals.
- Uncovers people and process opportunities, crafts solutions, and champions the implementation.
- Maintains records of core team members’ achievements, productivity and development opportunities to prepare and deliver on-time IDPs and annual reviews.
- Processes and approves accurate and timely payroll for core team members.
- Appreciates the relationship between recognition, reinforcement, and results.
- Successfully transforms strategies into tactical and measurable action plans.
- Participates in special projects as needed and handles emergency requests and assignments with poise.
- Promotes our FOH® Culture through action and leadership.
Education, Experience & Computer Skills:
- Bachelor’s Degree preferred in accounting, finance or related field
- Minimum 5 years’ experience in accounting, finance or related field
- Minimum of 5 years’ experience in leadership/ managerial role
- Mastery in Microsoft Excel
- Proficient in Microsoft Applications
- SAP Business One Accounting System
- Avalara and Hubspot platform
