Overview

The Clinic Team Leader, under the supervision of the clinic physician(s) and Regional Clinic Manager, promotes the
values and mission statement of Forefront Dermatology and provides daily on-site leadership and effective
management of clinic operations and ensures high levels of patient customer service, operational efficiency,
physician, mid-level provider, and employee satisfaction. This position may be responsible for managing one
primary and additional satellite clinics and will travels as needed to satellite clinics he/she is responsible for
managing.


Responsibilities

Leadership Duties
1. Maximizes clinic and team efficiency, productivity and teamwork of registered nurses, licensed practical nurses,
medical assistants, histotechnicians, laboratory staff, and pathologist assistants by providing daily
communication, supervision and direction in concordance with company philosophy, goals and objectives.
a. Leads monthly department meetings (more frequent if needed) and ensures that time is productive.
b. Acts as a resource for trouble shooting process or equipment and electronic health record issues as they
arise.
c. Meets weekly with shift leaders to discuss and resolve departmental issues, brainstorm process
improvement and work flow efficiency initiatives, and develop action plans for implementation of approved
proposals. Provides minutes to Regional Clinic Manager.
2. Ensures the clinic overhead is within budget
a. Maintains clinic supplies and does not overstock or order wasteful things
b. Manages Overtime costs
c. Manages critical pay and or alternate clinic coverage costs
d. Manages turnover costs
e. Manages training cost
f. Manages extra time costs
g. Addresses providers needs
3. Staff work schedules, PTO, and payroll
a. Creates and/or reviews all clinical and reception staff work schedules and manages changes requested by
staff or required to optimize clinic flow.
b. Ensures preliminary schedules are created a minimum of three months in advance.
c. Ensures final work schedules are posted two full pay periods in advance.
d. Approves PTO requests, maintaining adequate staffing levels on a daily basis.
e. Reviews timesheets ensuring integrity of staff punches and approves hours for biweekly payroll processing.
4. Facilitates communication and teamwork, advocating for company philosophy, goals and objectives. Leads
staff meetings at appropriate intervals and ensures meeting time is productive.
5. Assists with employee recruitment, selection, and hiring processes for all clinical and reception staff
6. Leads new employee onboarding and training to ensure adequate skill set and adherence to all department
policies and procedures.

7. Assists with addressing medical staff performance issues and completing annual staff performance evaluations
per company policies.
8. Maintains inventory of clinic supplies, including all medical, office and cosmetic supplies necessary for patient
care. Completes or reviews PO before sending to Regional Clinic Manager for signature.
9. Provides regular updates to Regional Clinic Manager on pertinent clinic and or central service issues.
10. Completes all daily, weekly, monthly and quarterly assignments according to deadlines.
11. Responsible for all phone messages, faxes, interdepartmental mail (if clinic is non remote) is addressed
immediately.
12. Responsible for attaining prior authorizations and maintaining a system to track from start to finish.
13. Provides training and supervision to all new staff and ongoing training for existing staff including but not
limited to corporate compliance (i.e. OSHA, HIPAA, Laser Safety) annual completion
a. CLIA (where applicable):
• Prepares for and participates in CLIA surveys
• Under the direction of the Technical Supervisor, is responsible for maintenance oversight of the quality
control and quality assurance records.
• Coordinates the scheduling and ensures that all Proficiency testing occurs in a timely manner for each
proficiency test system where applicable.
• Coordinates troubleshooting actions with appropriate entities, (Technical Supervisor, manufacturers,
consulting companies) when quality assurance, quality control, proficiency issues arise.
• Provides staff re-education or discipline as appropriate
14. Receives call-ins from all direct reports and arranges coverage of open shifts.
15. Acts as a role model and subject matter expert for policies and procedures set in place by management, as
well as working with new software or equipment.
Clinical Assistant Duties (Hands on participation of the following duties):
1. Rooms patients and documents all vital information prior to exam with provider such as:
a. Chief complaint
b. Medical History
c. Family History
d. Social history
e. Review of systems
2. Scribes all information for the provider regarding the patient encounter including but not limited to:
a. Physical exam
b. Assessment
c. Procedures
d. Prescriptions
e. Consents
f. Operative/ Pathology reports
g. Letters sent back to PCP and / or referring provider
3. Provides informed consents to patients prior to procedures
4. Assist the providers with or under the supervision of the providers to perform the following procedures but not
limited to:
a. Surgical photographs
b. Biopsies – punch, DIF, and shave
c. Excisions
d. Electrodessication and curettage
e. I&D
f. Mohs micrographic skin cancer surgery (if clinic performs MOHS)

5. Works under the supervision of the providers to perform the following duties but limited to:
a. Phototherapy (if clinic is equipped)
b. Injections
c. Koh preps
d. Tzank preps
e. Dermabrasion (if clinic offers this service)
f. Patch testing
g. Blue light (if clinic is equipped)
6. Provides post op wound care to patients following procedures.
7. Must continually learn and be able to explain new and existing dermatological conditions
8. Performs recording / maintaining patient logs including but not limited to biopsy (pathology) log and laboratory
test log (outside lab log and lab log).
9. Schedules and coordinates patient appointments following company protocols, procedures, and physician
schedule templates when applicable
10. Adherence to compliance and completion of compliance training.
11. Performs other related duties as assigned.
Clinical Receptionist Duties
1. Greets and registers patients for appointments
2. Entering or updating medical record in NextGen and demographic and insurance information in the EPM.
3. Schedules and coordinates patient appointments following company protocols, procedures, and physician
schedule templates when applicable
4. Explains insurance and financial policies when scheduling appointments.
5. Prepares electronic medical record and appropriate forms prior to rooming patients
6. Ensures the patients are kept informed when there is a delay in the appointment
7. Be able to open or close clinic according to policy.
8. Assist in ordering and stocking of office supplies.
9. Performs other related duties as assigned.


Qualifications

EDUCATION
1. Minimum Post High-school education in a medical support field such as Medical Assistant, Licensed Practical
Nurse, or Registered Nurse, is required.
2. Must hold current certification/licensure and must maintain certification/licensure throughout employment.
KNOWLEDGE, SKILLS AND ABILITIES
1. Two years of previous experience in dermatology / Mohs Surgery is preferred.
2. Must maintain CPR Certification.
3. Must be able to travel as needed.
4. Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to
others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in
response to organizational change.
5. Proficiency with Microsoft Word, Excel and Powerpoint.

6. Must possess excellent leadership, organizational, computer, and communication skills.
7. Ability to work effectively and cooperatively with staff, board, clients, and the public.
8. Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
9. Ability to use time productively and contribute to high levels of company operational efficiency and
effectiveness.
10. Ability to maintain confidentiality of information.
PHYSICAL DEMANDS
1. Ability to communicate in an active multi-office environment.
2. Ability to efficiently operate all job related office equipment (telephone, computer, calculator, fax, copier).
3. Ability to communicate via telephone.
4. Ability to stand for large portions of a workday.
