Position Summary:
The Grants Administration Specialist will support all aspects of the post-award grants management process. This includes ensuring compliance with internal and external funding requirements, maintaining grant reporting and invoicing requirements, updating yearly grant cycle calendars, and creating grant-related correspondence and reports as assigned.
Essential Job Functions:
Prepare monthly grant invoices for submission
Audit all expenditures funded by restricted grants to ensure accuracy and compliance
Complete invoice documents and compile all necessary supporting documentation
Update budget to actual reports to reflect current expenditures
Work closely with accounting staff to meet all internal and external compliance requirements
- Update and maintain interactive grant reporting dashboard
Record deadlines and compile appropriate documents when processing new grant awards or renewals
Create and update reporting templates, as needed
Notify program staff of new and upcoming report deadlines
Provide technical assistance to program staff
Create new funder or program reporting dashboards, as needed
- Update and maintain interactive grant budget to actuals dashboard
Record monthly expenditures and spending notes
Provide monthly spending updates to program staff
Create new budget to actual dashboards when processing new grant awards
Provide technical assistance to program staff, as needed
- Assist with additional post-award grants management activities
Maintain contract files (hard copy and digital) and policy/procedure documents
Compile appropriate documentation for desk reviews and monitoring visits
Serve as secondary contact for all grants administration-related items
Complete special projects, as assigned
Preferred Qualifications:
Two years or more experience in a human services environment
Comfortable with Excel, Word, and other Microsoft Office applications
Strong written and verbal communication skills
Strength in problem-solving, resourcefulness, and ability to meet deadlines
Comfortable working in a fast-paced, dynamic environment
High level of organizational skills, attention to detail, and respect for confidentiality

Physical Demands/Work Environment:
Position requires sitting with extensive keyboard use
Position is full time with health and retirement benefits after required employment periods are met.
Compensation: $18-20 /hour, depending on experience
Salary : $18 - $20
