The Accounting Office Manager at Freeland Chevy Superstore will be responsible for overseeing and managing the daily financial operations of our dealership. This individual will play a key role in maintaining accurate and timely financial records, ensuring compliance with accounting standards and regulations, and providing support to the dealership's management team. The ideal candidate will have a strong background in accounting and finance, excellent organizational skills, and proven leadership abilities. This is a full-time, individual contributor role in the automotive industry located in Nashville, Tennessee.
Responsibilities
- Serves as a liaison between the accounting office and all other departments.
- Analyzes and organizes office operations and procedures.
- Maintains and orders all dealership office supplies.
- Manages and maintains the dealership internal CTP program.
- Process the annual renewal of dealer plates.
- Controls all posted documents, including time records, vehicle deals, commissions and additions and changes to inventory.
- Reconciles and processes dealer reserve payments.
- Processes daily bank posting.
- Process daily SmartCash cash posting. Back up for daily vehicle floorplan payoff.
- Process monthly bank reconciliation.
- Maintains an effective cash management system. Conducts quarterly cash drawer audits.
- Controls petty cash amounts for dealership and sales department. Reconciles weekly sales spiff bag.
- Reconciles and reviews all accounting schedules and addresses aging items.
- Approves adjustments to inventory and receivable accounts.
- Processes daily and monthly ACH transactions.
- Review monthly redline expense reports and accruals.
- Provides weekly reports to managers on aging items – Friday Five
- Assists with annual 1099 IRS reporting.
- Ensures that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate.
- Assists controller with month end close out and prepares all checklists and templates.
- Ensures compliance with all government regulations.
- Posts payroll on a timely basis.
- Administers charge-back program for late charges to inventory.
- Prepares sales commission/chargeback detail reports.
- Provides backup to the payoff of vehicle floor plan and works with bank representatives.
- Compiles information and prepares reports as requested by management and/or dealer principal.
- Cross-trains a qualified substitute for assistant controller.
- Keeps an updated file of all dealership job descriptions.
Qualifications
- Bachelor's degree in accounting, Finance, or a related field preferred.
- Minimum of 2-5 years of experience in accounting or finance, preferably in the automotive industry.
- Strong knowledge of accounting principles and standards.
- Experience with accounting software, preferably Dealertrack DMS.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to work independently and take initiative.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office, particularly Excel.
- Ability to adapt to changing priorities and deadlines.
