Summary
The Technology Solutions Specialist oversees everything technology-related for an event live/virtual. This begins with the technology strategy for the event. How does it align with the goals of the event? How will technologies operate during the event? How will the use of technology support the mission of the event and even reinforce that message? This role will be the driving force for operational excellence and adjudicating sound fiscal decisions to maximize profits. This kind of strategic thinking is critical to a superior event. This position requires extraordinarily strong people leadership, communication, negotiation, and presentation skills. This position proactively manages program elements, and regularly communicates with clients, project team members (e.g., Account Directors, Finance, Project Leads, etc.), other Freeman divisions, vendors and venue contacts.
Essential Duties & Responsibilities
- Reports to the Sr Manager, Technology Solutions.
- Works cross-functionally with teams (sales, strategy, creative, digital, agency event production, event tech and expo) to lead and manage corporate event program work streams including, but not limited to virtual events, trade shows, conferences, special events and ancillary events and experiential activations.
- Collaborates with sales, agency event production, creative, and strategy teams on the RFP process in the creation of budgets, timelines and staffing related to Technology Solutions.
- Mentors and supports department employees in developing account management skills and experience. Assists in new employee training along with ongoing training of current employees while creating a goal-oriented atmosphere within the department.
- Typical work stream scope responsibilities include leadership and/or management of: Network, Power, Digital Signage, Session Access Control (SAC), Lead Retrieval (LR), Gamification, Mobile App/Push Notifications, Agenda Builder, Registration, Badge Printing, Badge Security, Materials Pickup, Events Surveys, Integration and RFID.
- Additional responsibilities include Testing Plans, Integrations, Vendor Management/SOW Review, Technology Timeline and Onsite Management, Contingency Plan Creation and Communication.
- Develop, institute, and lead the Technology Solutions and Agency Event Production teams on processes for maintaining and governing Personally Identifiable Information (PII) ensuring solutions are secure and data stays confidential. Align data usage with security requirements.
- Educate and govern the Agency Event Production team on Payment Card Industry (PCI) compliance and the handling of credit card data internally and with all third-party suppliers.
- Creates and manages work stream budgets, vendor invoice/expense tracking, and final reconciliation, as well as ensures profit margin goals are met.
- Runs weekly vendor technology and client team meetings and preparing agendas, follow-up notes and action item reports.
- Identify delivery gaps and proactively find and communicate solutions. Generally focusing on time to usage, quality of delivery and resource availability.
- Performs other duties as assigned.
Education & Experience
- Bachelor degree or equivalent combination of education and experience.
- A minimum of 5 years of experience in the event space.
- Experience in managing vendors, people, equipment, and timelines.
- Ability to quickly recognize or anticipate problem areas and quickly develop solutions.
- Flexible, self-motivated, energetic, and uses time productively and efficiently.
- Strong and proficient skills with Microsoft Office tools such as Excel, Word, and PowerPoint.
- Motivated to learn digital platforms for virtual events.
- Exhibits an outgoing, upbeat personality, enjoys working as part of a team, and is efficient, considerate, and organized, with a keen eye for details.
- A strong attention to excellent customer service with proven written and verbal communication skills is preferred.
