Summary
It is the responsibility of the Transportation Coordinator to perform routine travel related tasks for company employees. Professionally interacts with team members and third-party vendor/partner representatives to provide the highest level of service excellence.
This position will support our Event and Exhibit Services team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show site 2-3 days per week based out of Nashville, TN.
Essential Duties & Responsibilities
- Coordinate travel, per diem, accommodation, and other travel related requirements for employees.
- Act as the primary point of contact for travelers, corporate travel office, travel management agency, and third-party travel companies to resolve any travel related issues or concerns.
- Work with Sr Director of Travel and the Procurement team to secure appropriate regional hotel accommodation for specific destinations and participate in company vendor request for proposals (RFP).
- Ensure all travel is reasonable and accommodating for our travelers while adhering to our travel and expense policy, safety policy, and high level of duty of care.
- Coordinate with corporate travel office, as appropriate, to secure travel arrangements for group travelers.
- For travel related purposes, appropriately use and manage Corporate Travel Card and Purchase Card.
- At least monthly, obtain all receipts and statements for purchases made with Corporate Travel Card and Purchase Card and reconcile the accounts.
- Set a standard for safe and efficient travel operations.
- Generate reports as requested by management and reconcile report discrepancies and problems.
- Perform other duties as assigned.
Education & Experience
- High School Diploma required.
- Associates Degree preferred.
- Two or more years of relevant and recent experience.
- Strong Microsoft Office skills.
- Strong interpersonal and organizational communication skills.
