Frost Brown Todd LLC is currently seeking a full-time Client Accounting Compliance Specialist to join our firm. This individual will be responsible for reviewing and editing time entries made by the firm’s timekeepers for compliance with outside counsel guidelines for items that are billed electronically. This role will also liaise with timekeepers to ensure edits are appropriate for each client, and assist in general e-billing responsibilities
This position can be located in any of our markets and can either be in-office or remote.
Job responsibilities include:
- Reviewing outside counsel guidelines and setting up client compliance details in time and billing software.
- Reviewing timekeeper entries for guideline compliance.
- Working with timekeepers and Client Accounting Team to ensure e-bills are prepared accurately and in accordance with clients' outside counsel policies.
- Acting as the primary firm compliance resource for managing electronically billed clients, focusing on outside counsel guidelines, deductions, and appeals to meet or exceed profitability goals.
- Monitoring and auditing the opening of new electronically billed matters for compliance with guidelines and requirements; confirming that all required information is provided or reaching out to obtain missing information.
- Reviewing time and cost entries to identify those that are not compliant with Outside Counsel Guidelines and working with timekeepers as needed to revise narratives.
- Educating and training timekeepers on compliant narratives.
- Staying current with clients’ Outside Counsel Guidelines to serve as an expert to the timekeepers; ensuring that new guidelines are communicated, and timekeeper questions are answered.
- Working with other internal teams to automate new matter/timekeeper notification emails and providing updates as information changes to ensure timekeepers are well-informed of time entry guidelines.
- Performing internal audits to measure timekeeper compliance with client guidelines and measure the effectiveness of training.
- Actively seeking and identifying opportunities to improve existing processes related to billing and appeals; collaborating with internal teams to implement process changes.
Job Requirements
- College degree, ABA-approved paralegal certificate or clear demonstration of equivalent knowledge and skill.
- 2 years of paralegal work experience.
- Working knowledge of Outside Counsel Guidelines is preferred.
- Ability to speak effectively with attorneys, legal practice assistants and other administrative business professionals in organization.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Proficiency in Microsoft Office products including Outlook, Word, Excel and knowledge of Internet usage and other technology to appropriately assist attorneys.
