What are the responsibilities and job description for the A/R & A/P Clerk position at General Sealants, Inc.?
Objective:
Responsible for overseeing accounts receivable and accounts payable transactions. Records and post payments received and makes payments for vendor invoices and other debts owed by the company. Prepares periodic reports, reviews, and reconciles data. Possesses excellent organizational skills as well as an ability to think analytically. Must have an eye for accuracy with keen attention to detail.
Essential Functions:
- Maintaining general ledger, accounts payable, accounts receivable, and project accounting.
- Reconciling accounts and resolving discrepancies ensuring the accuracy and validity of financial information.
- Participating in month end closing procedures, reviewing, recording, and reconciling all account information.
- Data entry, validation, and processing of various types on invoices.
- Organize records of invoices, bills, deposits and prepare accurate financial statements.
- Overseeing payment transactions such as ACH, wire transfers, paper checks, etc.
- Ensure timely payment of vendor invoices and expense vouchers, producing an accurate balance sheet.
- Confirm transactions are processed accurately and completely.
- Analyzing and reporting on account information and trends.
- Maintaining operational and financial security by following company policies.
- Contributing to and implementing operational improvement initiatives.
- Investigating non-payment and negotiating resolution.
- Oversee all tax-related processes.
- Secure financial data via data backups and security monitoring.
- Must perform other duties as needed and requested by the Supervisor.

Education/Experience:

- Bachelor’s degree in business administration, accounting, finance, or related field preferred.
- 3 years of accounting experience.
- Substantial ERP AP system knowledge, as well as 1099 filing experience or other financial software.
- Proficiency in common office and accounting software applications (Excel & Sage 100)
- Knowledge within billing and invoicing
- AR/AP aging reports analysis experience
- Strong analytical and time management skills
- Experience with leadership roles that display problem-solving capabilities
- Must have excellent oral and written communications skills. Must be able to pay close attention to detail, be organized, and be able to work with confidential business information.
Language Ability: Ability to read and write in English. Ability to read, analyze, and interpret inter-company reports and procedures, general business periodicals, professional journals, technical procedures. Ability to write clearly and informatively, edit work for spelling and grammar, present numerical data effectively and accurately, and read and interpret written information and instructions. Ability to effectively present information and respond to questions from managers, employees, and others and speak clearly and persuasively in positive or negative situations.
Math Ability: Ability to calculate figures and amounts such as discounts, interest, and taxes.
Reasoning Ability: Ability to define and solve practical problems, collect data, establish facts, and draw valid conclusions. Must be flexible and deal well with frequent change, delays, or unexpected events. Must have ability to manage competing demands and react well under pressure.
Computer Skills: To perform this job successfully, an individual must be computer literate, proficient with Microsoft Office applications (MS Word, Excel, Outlook), and Internet research. Substantial ERP AP system knowledge, as well as 1099 filing experience or other financial software.
