**Dispatcher and Administrative Specialist Job Description**
**Job Duties:**
*Dispatcher Responsibilities:*
- Daily scheduling of technicians, matching technician skillsets to job requirements.
- Balance maintenance/repair/drive time to maximize daily revenue/tech.
- Monitor schedules to ensure timely completion of scheduled maintenance.
- Monitor GPS information to track tech productivity.
- Provide customer service feedback to technicians.
- Follow up with technicians on jobs with <20% GP.
- Communicate tech hiring/training needs to Branch Manager and Manager, Tech.
- Communication with warehouse personnel for parts and equipment needed for next day’s work (e.g., load bank equipment on rack truck).
- Monitor third-party emails for service requests.
*Administrative Responsibilities:*
- Post all Accounts Payable entries for the branch, including coding, purchase orders, and credits.
- Monitor Vendor Statements and communicate with Vendors as needed.
- Answer phones and provide effective communication with internal and external stakeholders.
- Prepare the spreadsheet for Weekly Check Runs and send to the Controller.
- Manage the mailing/emailing of Daily Invoices to Customers.
- Perform customer credit checks and submit to the Office Manager for approval.
- Conduct collection calls and follow-ups.
- Handle small projects as needed, including obtaining new W-9s, new CRT-61s, etc.
**Competencies:**
- Strong communication skills to effectively interact with technicians, customers, vendors, and internal staff.
- Organized and detail-oriented to manage scheduling, financial entries, and administrative tasks efficiently.
- Ability to work under pressure, particularly during high-demand situations such as storms.
- Proficiency in using Automated Service systems for dispatching and financial software for accounts payable tasks.
- Basic knowledge of generators and Vehicle Tracking Systems (GPS).
**Key Training Topics:**
- Knowledge of Automated Service systems for efficient dispatching.
- Proficiency in Vehicle Tracking Systems (GPS) to monitor and enhance technician productivity.
- Training on financial software for accurate posting of Accounts Payable entries.
