COME MAXIMIZE YOUR ABILITIES, GROWTH, AND $$$$$ by Joining the Nation’s Best Team that offers uncapped Stability & Growth! * The Parts Coordinator’s primary responsibility and accountability is to provide an exceptional and successful customer experience while proactively managing the process of ordering, receiving, storing, dispatching and returning parts for each repair order. The Parts Coordinator plays a pivotal role in the success of the customer’s experience by verifying the accuracy and quality of parts received in a timely manner as per the production schedule and vehicle needs. The Parts Coordinator ensures the paint and materials inventory of the collision center meets the required needs of the technicians, while maintaining alignment with all team members in achieving the repair facilities KPIs. The Parts Coordinator is committed to being a dedicated Brand Ambassador of Gerber Collision & Glass at all times. Key Job Responsibilities Communicate all customer requests and needs to appropriate team members Provides positive energy when interacting with customers and vendors Order all parts as indicated on the repair orders Receive all parts delivered, confirming the quality, correctness and quantity of parts received Accurately identify parts necessary to complete repairs in the shop Work with vendors to locate and order parts Ensure timely distribution to the shop in accordance with the production schedule Enter all parts into the recommended Management Information System (MIS) Label all parts by the R.O.# and store them with the vehicle and/or scheduled repairs Track all parts delays keeping all required team members informed Properly return parts for credit to the appropriate supplier Manage all part credits and ensure they are received within 24 hours Communicate all Parts Price Changes (also known as Parts Price Increases - PPI) to all required team members Order and receive supplemental Parts in the MIS Advise Production Supervisor of status of parts for each job All Vendor invoices must be received in the MIS by end of business day Work with production departments, Technicians and Production Supervisor to ensure proper inventory of liquid and dry goods Monitor performance of parts, materials and sublet vendors Ensure daily reconciliation of the parts vendor invoice history report (e.g. 043 Report) Manage vendor agreements when necessary Maintain a clean and organized parts area Support all team members when required Participate in daily “production walks” with the Management Team Adhere to Assured’s Policies and Procedures, according to established business practices Participate in daily production meeting with the Management Team, as required Participate in monthly Health & Safety and staff meeting (if required) Attend training, information sessions and workshops recommended by Store Manager Maintain the Assured KPI’s by maximizing role performance (Sales/ GP/ NP/ CSI/ AR/ CT&TT) Uphold Assured’s Core Values : Honesty, Integrity & Respect Consistently demonstrates actions and behaviors supporting our “10 Promise” Work Tools to be Utilized Management Information System: Summit, Repair Centre Working Knowledge of: Mitchell, Audatex Parts sourcing: Car-part, Progi, APU, LKQ B2B Education and/or Experience Required High School Diploma or equivalent A minimum of 1 year previous experience in a collision repair environment or a similar role Communicate effectively, both verbally and in writing Strong attention to detail and a high degree of accuracy Effectively manage a fast-paced environment, demonstrating multi-tasking ability while working under pressure Working knowledge of vehicle repairs practices Customer Service Oriented and strong organizational skills Ability to manage pressure and conflicting demands and prioritize tasks takes initiative in problem solving situations I-Car Registered (working towards Gold Class certification) Frequently required to bend, crouch, reach, handle tools and lift in excess of 50lbs of materials Required Skills/Abilities Communicate effectively, both verbally and in writing Strong attention to detail and a high degree of accuracy Effectively manage a fast-paced environment, demonstrating multi-tasking ability while working under pressure Working knowledge of vehicle repairs practices Customer Service Oriented and strong organizational skills Ability to manage pressure and conflicting demands and prioritize tasks takes initiative in problem solving situations I-Car Registered (working towards Gold Class certification) Frequently required to bend, crouch, reach, handle tools and lift in excess of 50lbs of materials Other Requirements Frequently required to bend, crouch, reach, handle tools and lift in excess of 50lbs of materials.
