Job Description for Executive Director role
Gliding Stars is the leader in adaptive ice skating for children and adults with disabilities. We currently have 4 chapters in 3 states: Western New York, Rochester NY, Erie PA, and Northeast Ohio.
Our national headquarters located in Buffalo, NY is seeking a full-time master multi-tasker who is a bright, personable, enthusiastic, and committed individual to lead our program. We’re looking for a full time employee, in the winter, summer is less demanding requiring about 30 hours per week. This person needs to care about our mission and the skaters and families that we serve. Required skills include knowledge of Microsoft Office (Excel is crucial), filing, data entry, typing, and excellent written language skills. QuickBooks experience and good customer service is a great addition. Periodic travel is a possibility. The executive director should have both knowledge of all systems and the ability to do them as needed-this is a program run on a great deal of volunteer fuel with a small staff.
Position hours are typically Monday through Friday (9am-5pm). One day a week the office will be closed when you are needed at the weekend skates. During ice skating season (late September to late March) position requires alternate work schedule, including some evening and weekends. Summer season is lighter and will be approximately 30 hours per week. Vacation and benefits are included, and will be part of the package.
Prior knowledge of shipping, experience working with individuals with disabilities, and/or ice-skating skills preferred but not required.
Duties & Responsibilities
- Assist President with and learn project management, ice show production/coordination, and all fundraising events, to enable you to learn all these events to run them successfully in the future.
- Use computer software and databases to generate required reports for you as executive Director, the President, auditor, and Board of Directors.
- Maintain polite and professional communication via phone, e-mail, mail, and in-person with all employees, volunteers, skaters, families, and donors.
- Gain thorough understanding of adaptive equipment used with skaters and the assessment process. Implement equipment sales, shipping, tracking of sales, and the proper follow up.
- Conduct research, seek out new grant opportunities, and assist with existing chapter support.
Recruit and develop volunteer committees, at the rink and for all larger events, expanding the volunteer Leadership team for Western New York
Meet- discuss Ice show preparations, needs, problems, scheduling- meet every few months during season
Core Requirements:
- Communication – Correspondence with volunteers and participants’ families regarding all information for the program, scheduling, posting social media updates, blogging, etc. Communication with all chapters including scheduling, mailing, financials, fundraising, etc.
- Knowledge of/ or willingness to learn QuickBooks- Bill pay, deposits, etc. for all Gliding Stars chapters as well as transactions between Gliding Stars Adaptive Products and Gliding Stars Merchandising.
- All accounting is audited and data must be entered with extreme care.
- Learn Project Management – Planning, oversight, and management of Auction, various fundraisers, and the Annual Ice Show, etc.
- Fundraising – understand spreadsheets, database, mailings, grant deadlines, willingness to learn grant research and writing, calendar events.
- Willingness to learn, acquire training, and grow in the position to greater levels of responsibility.
- Possess strong verbal, written, and interpersonal skills.
- Excellent project management and organizational skills with focus on meeting deadlines.
- Strong attention to detail with uncompromising work ethic.
- Desire to understand and work with adults and children with varying special needs.
Depending on experience, salary range is $45,000 - $57,000.
