Summary:

We are looking for an Administrative Assistant to join our team to assist several Executives. You will have a unique opportunity to work in a fast-paced environment for a top strategic communications firm in an ever changing and exciting media environment. The ideal candidate will be a motivated, can do attitude, flexible, adaptable, hands-on, customer-oriented professional. In this role, you will provide support for the day-to-day operations of the executives and associates in our multi-office environment, maintain adherence to the Company’s client service policies and practices and provide recommendations to improve the group’s administrative process. You should be able to prioritize activities, multi-task and operate with a sense of urgency to ensure prompt, timely and high-quality service to internal and external clients. This position reports to an Executive.

Essential Duties and Responsibilities:

  • Conduct daily media (television, radio, print, online) and social media monitoring and analysis using various platforms; prepare briefings and summaries for executives and/or client distribution
  • Conduct extensive research and analysis for existing clients using various research tools
  • Draft and proofread reports, memos, and press releases
  • Develop media lists and, with direction from executives, plans that strategically target reporters for distribution of research news
  • Assist with business development by researching and identifying relevant info for potential new clients; prepare executive summaries and briefing documents for executives
  • Assist with schedule/calendar and travel arrangements with extreme detail
  • Make airline, hotel, and ground transportation arrangements, both domestic and international.
  • Maintain strict confidentiality with sensitive information, financial documents, and records; handle confidential material at the highest level
  • Enter time into TimeSlips
  • Balance workload and complete deliverables within established deadlines
  • Assist in after-hours or weekend support, projects and assignments, as needed
  • Interface with clients and media
  • Assist with answering phones and reception desk coverage
  • Assist with other general administrative duties

Qualifications:

  • Bachelor’s degree preferably in Public Relations, Communications or Journalism
  • Minimum of 2 years of work experience as an executive assistant is preferred
  • Proficient in MS Office, especially Word, PowerPoint and Excel
  • Familiarity with communications resources such as Factiva, Cision, Gorkana and Critical Mention is a plus
  • Familiarity with HTML and basic website administration is a plus
  • Ability to read and understand legal documents and use legal resources such as PACER and LexisNexis is a plus
  • Knowledge or strong interest in financial, corporate and/or strategic communications, public relations
  • Good judgement and common sense; a professional attitude and demeanor
  • Excellent oral and written communication skills
  • Strong attention to detail, including excellent proof reading skills
  • Strong research and analytical skills

Job Type: Full-time

Pay: From $45,000.00 per year
