Summary

Delivers extensive support to the National Manager, HR, facilitating the smooth and effective functioning of the HR Operations Team. It demands a proactive, detail-focused individual who possesses superb organizational and communication skills, as well as a thorough knowledge of HR practices and protocols. The incumbent will act as a principal liaison for both internal and external stakeholders, managing a variety of HR-related duties, projects, and initiatives. Additionally, this role will collaborate with the HQ HR Administrative team to ensure that field operations comply with HQ policy directives and updates.

Responsibilities & Essential

Primary

Administrative Support

  • Provide high-level administrative support to the National Manager, HR, including managing calendars, scheduling meetings, and handling correspondence with all levels of the organization.
  • Prepare and distribute HR-related documents, reports, and presentations as required including complex excel spreadsheets, word documents, standard operating procedures, compliance audits, and projects.
  • Assist in the development, implementation, and maintenance of HR policies, procedures, and programs.
  • Employee and Labor Relations.
  • Support HR Operations teams and colleagues to resolve challenging issues related to the employment and dismissal of staff. 
  • Provide research, advice and feedback to HR staff on a wide range of topics including attendance, workers compensation, FMLA, ADA, LOA, and other employee relations and labor issues.
  • Assist in the resolution of employee relations issues, including conducting investigations and documenting outcomes.
  • Encourage and foster positive relationships between management and employees to mitigate the need of labor unions.
  • Compliance and Reporting.
  • Ensure compliance with relevant labor laws, regulations, and company policies. Prepare and submit HR-related reports and documents as required by regulatory bodies and management.
  • Monitor changes in federal, state, and local employment laws and regulations, and assess their impact on HR policies and practices.
  • Conduct regular audits and assessments to identify areas of non-compliance and develop corrective action plans.

Secondary

Project and Training Support

  • Provide support for HR projects and initiatives, contributing to project planning, execution, and evaluation.
  • Collaborate with cross-functional teams to achieve project objectives and deliverables.
  • Coordinate training and development initiatives, including scheduling training sessions and tracking employee participation.
  •  Assist in the development of training materials and resources, as well as evaluating training effectiveness.
  • Benefits, Compensation and Payroll Data Administration
  • Work as a liaison between business unit and HQ to assist local HR staff with resolving benefit-related issues.
  • Recommends, plans and implements pay structure revisions as necessary, including short-term incentives and bonuses. 
  • Assist in the development and implementation of new benefits programs or enhancements to existing programs, based on employee needs, industry trends, and organizational goals.
  • Collaborate with HR leadership and cross-functional teams to evaluate and recommend changes to benefits policies, procedures, and offerings.
  • Ensure compliance with applicable laws and regulations governing benefits, such as ERISA, ACA, HIPAA, and COBRA.

Tertiary

Staffing and Talent Management

  • Develop staffing agency KPI and performance measures; negotiate agency contracts; resolve problems and dismiss poor performing agencies; support recruiting teams and staffing agencies to ensure positions are filled within a reasonable period.
  • Assist with managing the business plan open positions and support HR units to fill their vacancies.
  • Evaluate training effectiveness and ROI through assessments, surveys, and feedback mechanisms, and make recommendations for program enhancements.

Qualifications


Skills

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and team development skills; must be team oriented.
  • Demonstrated ability to serve as knowledgeable resource to multiple Human Resources teams.
  • Excellent computer skills in a Microsoft Windows environment - Excel, PowerPoint, Word.

Education & Experience

  • Bachelor's Degree required and 4 years Human Resources experience required.
  • 2 years Supervisory required.
  • Microsoft Excel required.

 

Physical Requirements

  • Ability to sit in front of a desk and/or in front of the computer for long periods
  • Repetitive use of hand/grasping product, writing, and typing
  • Stand/Walk
