Gomez & Martinez, LLC, a law firm focusing in immigration law, seeks a full-time Front Desk Associate/Greeter with excellent interpersonal skills to join our team. This role is the first point of contact for visitors and clients. This role involves welcoming guests, managing front desk activities, and providing administrative support to ensure a smooth and professional experience. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to handle administrative tasks efficiently.
Key Responsibilities:
· Greeting and Welcoming:
o Warmly greet and welcome clients as soon as they arrive
o Direct clients to the appropriate person
o Provide accurate information in person and via phone/email
· Managing Front Desk:
o Answer, screen, and forward incoming calls from multiple telephone lines
o Listen to voicemails and direct messages to respective attorneys, paralegals and/or administrative staff
o Communicate professionally with clients, courts and opposing counsel
o Handle inquiries and provide information about the company’s services
· Administrative Support:
o Schedule and confirm appointments and meetings
o Perform clerical duties such as filing, photocopying, and scanning
o Maintain a clean and organized reception area
· Customer Service:
o Assist customers with inquiries and resolve issues or complaints in a professional manner
o Provide assistance with billing and payment processing if required
· Communication:
o Liaise with colleagues to ensure smooth communication and operations
o Communicate relevant information to the appropriate colleagues
· Other Duties:
o Follow company policies and procedures
o Handle confidential information and materials in a trustworthy fashion
Requirements:
· High School diploma
· Fluent in English and Spanish
· Proficient in Microsoft Word, Outlook and Web-based programs
· Ability to multitask and work independently and as part of a team
· Possess excellent organizational skills and ability to effectively communicate with colleagues
· Customer service-oriented attitude
Hourly Wage:
· Commensurate with experience
