Sales Operations Coordinator

The Grafton Village Cheese Company produces premium, aged cheddar cheese and specialty cheeses using traditional methods and milk from local dairy farms. It is a national leader in artisanal cheese making. It is a for profit business of the nonprofit Windham Foundation, based in Grafton, Vt. The mission of the Windham Foundation is to promote the vitality of Grafton and Vermont’s rural communities through its philanthropic and educational programs and the GVCC is an important contributor to these endeavors.

Position Summary:

As a Sales Operations Coordinator, you will be responsible for supporting the sales team in achieving their goals. You will collaborate with various departments to streamline processes, enter orders, manage data, provide customer support and some outbound sales work. Your role is crucial in maintaining accurate sales records, managing sales tools/systems, and facilitating communication between different stakeholders.

The position is ideally based in our Proctorsville, Vermont location but Grafton is also possible. A hybrid work from home schedule would be considered for the right candidate.

Essential Job Functions

Brand Representation and Customer Relationships

· Develop a thorough understanding of the GVC history, philosophy, product line offering and services to effectively represent GVC’s brand.

· The Sales Operations Coordinator will be responsible for being the first line of communication with customers via phone, fax or email, and entering all orders into the database correctly. As this position is the voice of the company, professionalism is of the utmost importance. Orders, pricing, discounts, ship dates all need to be confirmed within the company before being discussed with the customers.

· This position will need to work closely with sales, office staff, inventory, shipping, and accounting functions of the company from confirmation of customer orders to customer invoicing.

· Support the sales team in managing customer relationships, including responding to inquiries, resolving issues, and addressing customer needs.

· Ensure timely and accurate communication with customers regarding orders, deliveries, and other sales-related matters.

· Suggest substitutions to customers for items ordered that are unavailable; encourage customers to purchase the maximum possible amount of product helpful to their business.

· Work with all departments to ensure customer satisfaction on all levels.

Sales Support

· Maintain and organize the electronic and physical inventory of all sell sheets, POS and other sales materials, in conjunction with Marketing.

· Organize visits by wholesale customers with the appropriate entities within GVCC.

· Communicate customer problems with cheese products effectively to production and management.

· Identify, qualify and make phone or email solicitations of potential new customers.

· Provide inside sales support by sending out sales kits/samples or marketing materials.

· Maintain database of prospects and active customers for various uses.

· Fulfill requests for price lists, distributor contacts, sales materials and more while in communication with sales managers.

· Follow up with trade show leads prior to assignment.

· Manage all house/unassigned customers.

· Assist with managing and coordinating all tradeshow events

· Fill out all New Item and New Vendor paperwork to support sales

· Send out new price lists as required; track receipt and implementation date

Required Skills

· Proven ability to deliver results and meet deadlines

· Ability to be self-motivated and to prioritize multiple tasks appropriately

· Proficiency in CRM systems and other sales tools.

· Proficient in operating a computer and associated applications (MS Office, Excel in particular )

· Strong analytical skills with the ability to interpret sales data and generate meaningful insights.

· Excellent organizational and multitasking abilities, with attention to detail.

· Effective communication and interpersonal skills, with the ability to collaborate cross-functionally.

· Problem-solving mindset with a proactive approach to process improvement.

· Ability to thrive in a fast-paced environment and adapt to changing priorities.

Required Experience and Education

· Experience in retail and wholesale environments, preferably food-related

· Bachelor's degree in business administration, marketing, or related field

· Proven experience in sales operations, sales support, or similar role.
