Thisposition will provide comprehensive administrative support to theIntegra Program including clinical teams Towhee program theCommunity Education and Engagement program and the Integra intakeprocess.
The ideal candidate is accurate and efficient acollaborative team player and a creative problem solver in allaspects of administration.
Experience with working in a clinicalsetting would be anasset.
Responsibilities :
Providereception coverage including evening receptioncoverage
Secureofficeclosure
Maintaina tidy office supply station and amp; notify appropriate adminstaff when supplies areneeded
Respondto inquiries and communicates with clients and families in a timelymanner regarding programs or redirects to appropriate managers orstaff.
Trackservices within CYSIS registers individuals for workshops processesclinical reports and takes minutes atmeetings.
Receiveand greet visitors to the Centre in a courteous and professionalmanner making them feel welcome and comfortable and providesroutine information / literature as requested by interestedparties.
Addressesand treats clients volunteers and staff in a friendly and warmmanner and directs all visitors to sign in as required bypolicy.
Adheresto agency policies procedures andpractices.
Receivedate stamp document distribute record and mail all outgoing mailand incomingmail.
Prepareovernight packages and outgoingmail.
Fillcopiers and fax machines with paper and amp; toner asneeded.
Keepcopy area stocked with stationary and amp;supplies.
Keepreception area kitchen and amp; conference rooms clean andpresentable.
Maintainroom bookings; staff weeklyschedule.
Administerand maintain client files and CYSIS (computerized clientinformationsystem).
Assistand develop mail merges (i.e. Database Form Letters Mailing Labelsetc.).
Miscellaneousprojects as assigned bymanagement.
