Position Summary
The Creative Coordinato r is an entry-level position responsible for supporting and proactively organizing the estimating, proposal writing, staff schedules, and billing for Graphcom’s creative services division.
Essential Functions

- Write & Coordinate Proposals for New Business. Develop project plans and price estimates, write and review proposal drafts, coordinate communication among and gather info from team members, and track proposal status.
- Schedule Projects / Manage Staff Traffic Calendar. Utilize our project management software to schedule projects with our team, and continuously adjust schedules throughout project duration.
You’ll need to learn the software system, understand numbers and spreadsheets, and be willing to juggle schedules and negotiate with team members to keep projects moving quickly and efficiently.
Support Accurate Invoicing and Billing. Complete project invoicing process within our project management software and communicate accurate data to the Graphcom accounting team for final client billing.
You’ll need to learn the software system, enjoy working with budgets and spreadsheets, and be extremely detail oriented.
- Improve Team Efficiency. Assist project managers with assigning project numbers, project materials flow (collecting client-supplied material and uploading files to FTP), assigning milestones in project management system, and archiving projects.
- Additional Administrative Duties such as :
- Greet and check-in visitors in a professional, welcoming manner.
- Maintain a professional, organized, and client welcoming reception area.
- Assist with internal and external meetings (scheduling, note taking, following up on assigned tasks, drafting meeting summaries, archiving meeting notes)
- Organize and maintain a master library of project samples
Minimum Job Requirements :
- Writing and critical thinking skills to create written project plans and proposals
- Enjoyment of numbers, spreadsheets, software, processes, systems, and organization
- 1 years or comparable educational / internship / career experience in marketing and communications or in a related role
- Fine-tuned attention to detail, the ability to communicate information factually orally and in writing, strong interpersonal communication skills, flexibility and well-developed time management skills
- Proficiency in Microsoft Word, Excel and Outlook; Knowledge of Workamajig or other project management software strongly preferred
- Ability to understand and adapt to technology changes, workload changes, seasonality trends, etc.
- Must be a self-starter, have the ability to learn and process information quickly and work in a fast-paced creative environment
- Ability to professionally process suggestions, corrections and feedback
