Position Description
Position Title: Registrar
Department: Assigned Building
Reports To: Building Principal
Evaluated By: Building Principal
PURPOSE OF JOB: Provide Administrative Support to school Guidance Department
EDUCATION/CERTIFICATION: Associate degree or equivalent work experience.
Hold a valid State of Arkansas Criminal History Records Check Approval.
SPECIAL KNOWLEDGE/SKILLS:
- Knowledge, understanding and demonstrated aptitude or competence in the performance responsibilities listed below.
- Must possess strong organizational skills as well as the ability to handle multiple projects professionally.
- Demonstrated ability to exercise independent judgment, prioritize tasks and work independently with a high degree of accuracy.
- Demonstrated computer skills.
- Must be team oriented with excellent interpersonal and communication skills.
- Must be willing to participate in ongoing in-service training as requested.
- Must maintain a high level of ethical behavior and confidentiality of information as required by law.
EXPERIENCE: Demonstrated aptitude or competence for successful fulfillment of assigned performance responsibilities.
JOB GOAL: To assist the Guidance counselors with tasks necessary for the efficient operation of the school.
PERFORMANCE RESPONSIBILITIES:
- Provide secretarial support to the Guidance counselors.
- Coordinate and maintain student records.
- Prepare, organize, and mail transcripts, records, and other documentation related to college and post-secondary applications for students.
- Register new students and unregister departing students; handle all records requests related to new and departing students. Maintains all permanent student files.
- Works with juvenile justice system to provide and receive appropriate documents
- Publishes the GPA list for eligibility, National Honor Society, and other related eligibility lists
- All requests for records and transcripts will be sent out that day either by fax or mail
- Verifies student driver license applications
- Verifies student grades for insurance companies
- Maintains a list of all non-English speaking families for administration and staff
- Handle functions related to production and distribution of progress reports and report cards.
- Prints and mails notices of concern
- Serves as registrar for the Selective Service System
- Other duties as assigned by the principal
- Prepares records, reports, and correspondence attendant to student scholarship awards.
- Creates and distributes press releases related to student recognition.
- Maintain office equipment.
- Assists counselor with CAP Conference scheduling
- Assists counselors by putting student schedules into Student Plus
- Assists students with scholarship applications and college enrollment forms
- Maintains accurate student transcripts
- Mails senior transcripts to colleges as requested
- Prepare letters, memos and other correspondence.
- Assist faculty, parents and students with questions and requests.
- Shares summer office coverage as scheduled.
- Performs other duties as assigned by the Guidance Director or Administrator.

TERMS OF EMPLOYMENT:
Salary and work year in accordance with Gravette Public Schools salary schedule.
EVALUATION:
The basis of the evaluation will be the extent to which the performance responsibilities of the job are successfully handled and the extent to which yearly action plans and job goals are met. The Guidance Department Chair will perform the evaluation in consultation with the Principal.
