The Business Development Assistant position involves supporting the Marketing Manager and Team in various marketing strategies and activities. The role includes conducting market research, implementing marketing strategies, and collaborating with staff from other departments to coordinate marketing efforts. The primary responsibility is managing the company's responses to Requests for Qualifications (RFQs) from clients for services. Additionally, the role involves creating visually engaging and innovative marketing and branding solutions. This position requires a creative yet analytical mindset to develop, execute, and deliver digital and print designs that align with the company's marketing goals.
In addition, as a Human Resources (HR) Assistant, you’ll help provide essential support to the HR Administrator, contributing to the smooth functioning of the organization's workforce management. You will be tasked with a variety of responsibilities, including maintaining employee records, processing paperwork related to hiring and onboarding, and assisting with benefits administration. Your role involves effective communication with employees to address inquiries and ensure a positive work environment. Additionally, you’ll play a crucial role in organizing company events, training sessions, and fostering a cohesive workplace culture. You must understand the importance of confidentiality and attention to detail.

BUSINESS DEVELOPMENT RESPONSIBILITIES (subject to change):
- Assist in developing and executing marketing plans and campaigns.
- Conduct market research to identify promotion and growth opportunities.
- Preparation of marketing materials.
- Manage online marketing campaigns to drive client awareness and traffic.
- Evaluate client response to marketing initiatives through feedback, surveys, and analytics.
- Organize and support events, promotions, and other initiatives to enhance client engagement and reach.
- Analyze competitor marketing activities.
- Assist in budget development and cost tracking.
- Review and analyze RFQs from clients for projects to understand their requirements and objectives.
- Lead the preparation of comprehensive and compelling qualification packages, including technical qualifications, past performance data, staff qualifications, project experience, and capability statements.
- Collaborate with design production staff, business development staff, and other stakeholders to gather and present information that highlights the firm's qualifications and expertise.
- Maintain brand consistency across all projects, including graphic design guidelines.
- Create visually engaging and well-formatted response documents that align with brand guidelines.
- Write, revise, and proofread responses to ensure clarity, conciseness, and effectiveness in communicating the firm's value proposition.
- Maintain a database of standard response content and project profiles for tailoring individual RFQs.
- Monitor and manage deadlines for timely submission of responses.
- Conduct post-submission follow-ups with clients as necessary.
- Regularly update and manage the firm's qualifications library, including project profiles, resumes, and experience.
- Stay informed about industry trends, market conditions, competitor activities, and growth opportunities to inform RFQ response strategy.
- Conceptualize and create visually compelling assets for digital and print mediums, including website graphics, social media content, banners, brochures, logos, posters, and other marketing materials.
- Present design concepts to stakeholders and incorporate feedback into final designs.
- Stay updated on industry trends and technological advancements, applying them to designs when appropriate.
HUMAN RESOURCE RESPONSIBILITIES (subject to change):
- Assist in recruitment and staffing.
- Help with onboarding and orientation; welcoming new employees, conducting orientation meetings, assisting with new hire paperwork and benefit administration.
- Employee Relations; promoting a positive work culture and managing disciplinary actions when necessary.

TECHNICAL REQUIREMENTS:
To excel in this role, you should be knowledgeable in a range of software tools, including but not limited to:
- A Bachelor's degree in Graphic Design, Marketing, or a related field is preferred but not required. Additional qualifications in technical writing or proposal management would be beneficial.
- Proficiency in design software, such as Adobe Creative Suite (Photoshop, Illustrator, InDesign), Canva, and Microsoft Office Suite. Additionally, a strong understanding and implementation of social media platforms for client engagement.
- Strong understanding of marketing strategies and trends.
- Strong problem-solving skills, along with the ability to work on tight deadlines.
- Excellent written and verbal communication and presentation skills.
- Knowledge of civil engineering concepts, practices, and terminology would be advantageous.
- A proactive, team-oriented mindset and the ability to collaborate with a diverse range of internal and external stakeholders, as well as working independently to complete tasks.
- Strong visual design skills, including an eye for typography, composition, and color usage.
- Ability to translate marketing objectives into creative strategies and designs.

POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position, with a minimum expectation of 40 hours per week. However, most work weeks will be 40 or more hours. Hours are somewhat flexible and some late evenings and/or weekends may be required.
TRAVEL
There may be occasional overnight travel for this position. Some local day travel may also be required.
