What are the responsibilities and job description for the Medical Records Supervisor position at Greenwood Pediatrics, P.C.?
Busy pediatric primary care practice with three locations in the south metro area is looking for a friendly, detail-oriented Medical Records Supervisor to provide supervision of medical records staff at all locations (including remote workers), as well as hands-on records management and compliance expertise.
ESSENTIAL DUTIES and RESPONSIBILITIES
Treats staff, patients, and families with respect and sensitivity and exhibits behavior which projects a caring and compassionate attitude consistent with the philosophy of Greenwood Pediatrics.
- Manages workflow, department staff performance, employee schedules, and payroll approval for all medical records staff. This includes interviewing, discipline, and annual employee evaluations.
- Tracks team productivity & assesses staffing needs. Helps establish annual department budget.
- Communicates regularly with providers, nursing & front office staff regarding transfers and special requests.
- Provides training to new and existing staff in all departments.
- Understands and adheres to current HIPAA and security policies, including compliance and breach prevention/mitigation. Also requires expertise in assessing parent/guardian legal access and having difficult conversations regarding sensitive topics with parents embroiled in custody disputes and young adult rights to privacy.
- Receives and processes outgoing medical record requests in accordance with HIPAA and security guidelines (including, but not limited to parent, patient, insurance, and legal requests).
- Manages patient portal communications and troubleshoots portal technical issues.
- Works with CORHIO and other vendors to optimize health information management interfaces.
- Scans medical records and documents containing PHI & performs general clerical duties.
- Performs project-based work as assigned by supervisor
QUALIFICATIONS
Must possess in-depth knowledge of current HIPAA guidelines, including breach prevention & mitigation protocols, medical records processing, EHR systems, staff supervision & performance evaluation, as well as command of Microsoft Office. Must have previous medical records management and employee supervision experience.
EDUCATION and/or EXPERIENCE
High school diploma and some college preferred. Minimum one year experience required in medical records management, one year in staff supervision, and one year in regulatory compliance.
