We're searching for an Executive Assistant to support our founders by enhancing daily operations and providing high-level executive support.
Position Summary:
As an Executive Assistant to our founders, you will manage their day-to-day activities, support key communications, and coordinate essential tasks to ensure operational efficiency. Acting as their right-hand person, you will handle schedules, travel, and strategic project support. The ideal candidate is proactive, highly organized, and experienced in handling executive-level demands in a dynamic work environment.
Responsibilities:
- Scheduling and Meeting Management:
- Manage and optimize complex schedules, including prioritizing and coordinating meetings across teams and external stakeholders.
- Prepare agendas, materials, and follow-ups for key meetings, ensuring that founders' time is used effectively. Take notes during meetings.
- Relationship Management and Liaison:
- Act as a liaison between the founders and the broader team, facilitating clear communication and follow-up on tasks.
- Build and maintain relationships with key clients, partners, and external stakeholders to ensure seamless interactions.
- Personal Errands & Tasks: Assist with personal errands and tasks, ensuring the founders' personal matters are well-managed.
- Travel Arrangements: Coordinate travel logistics, including flights, accommodations, activities, and itineraries for both professional and private travel.
- Project Management: Assist with special projects as assigned by the executive team, tracking progress and ensuring deadlines are met.
- Information Management: Maintain organized and up-to-date files, records, and databases. Handle confidential information with discretion and professionalism.
Qualifications:
- Proven experience as an executive assistant or in a similar role, ideally in a fast-paced environment supporting C-suite leaders.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in MS Office, Salesforce, and other relevant software.
- Ability to handle confidential information with integrity and discretion.
- Excellent interpersonal and problem-solving abilities.
- High level of professionalism and attention to detail.
