Purpose:
This position is responsible for the reception area, including answering phone calls and greeting clients, visitors, and guests.
Key Responsibilities:
Duties and responsibilities:
- Create a welcoming and hospitable environment by developing and maintaining a receptive, open, and approachable line of communication with clients and staff.
- Assess visitors to determine if they have an appointment, whether they are a Guild client, identify any services they receive, and contact the appropriate staff/program.
- Respond to escalated situations where individuals need emergency assistance and respond using established process without heightening conflict.
- Responsible for assessing incoming calls for urgency and ability to manage multiple phone callers while maintaining receptionist desk.
- Provide clerical support as needed to assist with administrative and programmatic needs.
- Sort and distribute mail.
- Promote an inclusive, culturally competent, and respectful environment.
- Act as back-up for full-time receptionist as needed.
Requires Skills/Abilities:
- Ability to maintain composure and follow process in crisis situations.
- Consistently be on time and reliable.
- Manage multiple tasks and priorities.
- Self-starter who takes initiative and anticipates needs.
- Protect confidentiality of agency, personnel, and client information.
Education and Experience:
- High-school diploma or GED required.
- Experience working with people from diverse backgrounds.
Additional Requirements:
- MS Office Suites, including Excel, Power Point, Word, as well as the use of the Internet and Intranet, specifically SharePoint.
- Strong organizational and time management skills.
- Strong verbal communication skills.
- Ability to exercise judgment and maintain confidentiality.
Working Conditions:
- Prolonged periods of sitting at a desk.
Physical Requirements:
- Must be able to lift up to 10 pounds at times.
