What are the responsibilities and job description for the Legal and Contracts Coordinator position at Hachette Book Group?
The Legal and Contracts Coordinator will handle licensing work that is shared between Legal and Contracts with additional licensing-related duties that are specific to each of those areas. The Coordinator will have a dual report to the Contracts Manager and to the Senior Counsel. The Coordinator will handle drafting and negotiating together with all the process functions for a wide variety of licensing documents and will also be responsible for providing administrative assistance to the Contracts Manager with respect to agreements covering the licensing of foreign and other “subsidiary rights” by Hachette Book Group (HBG) to third parties. The work will touch on matters relating to several groups/divisions of Hachette Book Group but will be especially focused on agreements issued by HBG’s Running Press imprints. Day-to-day administrative tasks may include: updating and maintaining subsidiary rights databases, maintaining and managing workflow and status reports, and scheduling meetings. This job offers a good introduction to the legal side of publishing and to the subsidiary rights licensing area.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Draft, review and negotiate subsidiary licenses for specific HBG divisions/imprints (but especially for Running Press)
- Monitor and maintain the Subsidiary Rights shared inbox for incoming subsidiary rights deals
- Prepare, negotiate, and traffic Publisher’s film releases, prop licenses, and licenses for HBG’s use of tie-in film art and logos
- Draft/review serial licenses
- Assist Senior Counsel with brand licensing deals including processing the signed documents and uploading them into the HBG database
- Prepare amendments to brand licensing agreements
- Traffic paperwork for electronic signatures, upload documents into applicable systems, and handle in-house routing of documents as required
- Perform other duties as reasonably assigned to support the work of the Contracts Manager and Senior Counsel
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
- Experience with rights licensing and with the concepts of intellectual property
- Experience with Microsoft Word, Excel, PowerPoint, Outlook and Teams
- Strong written and oral communication skills
- Keen attention to detail
- Excellent organizational and time management skills
- Self-starter, able to take ownership of job responsibilities and manage work time efficiently
- College degree preferred but not required
