Hamilton College is one of the leading liberal arts colleges in the nation and is located in the village of Clinton in beautiful upstate NY. With a long, rich history, Hamilton’s loyal alumni body is over 20,000 strong and growing. Over the last 50 years, the College has continued to pioneer and innovate strategies to bring its alumni closer to their alma mater. Five years ago, the alumni leadership was restructured to better leverage Hamilton’s most loyal volunteers. Alumni programs continue to evolve and grow against this backdrop.

Hamilton was one of the first institutions in higher ed to leverage virtual programming, enabling the College to increase donor participation and engage alumni across all class years, affinity/identity groups, and markets, particularly in smaller geographic regions. Two years ago, Glade & Glen, a periodic publication/alumni newsletter was created and is dedicated to sharing class notes and providing alumni with timely news.

The Office Assistant, Alumni Relations provides administrative support for the Director of Alumni and Parent Relations and the broader Events and Promotions team, assisting with their efforts to engage, develop and strengthen short and long-term meaningful relationships with alumni.

This is a nonexempt position with a pay range of $18 - $19 per hour.

Responsibilities

  • Provide frontline interface with external constituents, as well as performing general office support.
  • Respond to alumni and parent requests for information to include: answer the main Alumni Relations phone line, monitor and respond to voicemails, reply to the main email account. Become adept at answering questions, directing inquiries as required to the appropriate department within Advancement or across campus for follow-up.
  • Assist with updating demographic information as needed.
  • Assist with general listserv maintenance.
  • Support the team’s work with volunteers and the Alumni Council – schedule meetings, send agendas, maintain/update committee rosters, work with liaisons to prepare for meetings, and assist with follow-up as needed.
  • Assist with the planning of the annual Reunions Weekend and volunteer conference calls.
  • Maintain inventory and order supplies
  • Other related duties and functions as needed or assigned.

Qualifications

  • Bachelor’s degree or higher.
  • Demonstrated success in alumni relations, events management, volunteer management, not-for-profit organizations or relevant fields preferred.

We are seeking a candidate to work 15-17 hours per week. A PTU50 position is approximately 910 hours per year.

  • Ability to work independently and well within a fast-paced, high-volume environment.
  • Desire to work collaboratively and build productive relationships with colleagues and constituents.
  • Proficiency with Google and Microsoft Office products. Database experience preferred.
  • Ability to work occasional evenings and weekends.
