Job Summary:
Plans and coordinates the day-to-day fiscal, administrative, and operational activities of a narrowly defined, contract or grant funded program/project or set of funded activities while working alongside the Executive Director. The program/project is usually focused to a single purpose, may be scientific, research, educational, or service oriented, and may exist as a subset of an integrated, grant-funded program activity. Duties typically include assisting with grant planning and administration, fiscal, budgetary, and/or other associated transactions, program implementation and administration, internal and external operational/administrative liaison, program marketing, and reporting.
Supervisory Responsibilities:
The Youth Program Director will be responsible for supervising all staff, campers, students, and volunteers. If the Youth Program Director is out, the Executive Assistant serves as contact.
Duties/Responsibilities:
- Operate billing in Brightwheel, add CCDF payments, payments left in center, scholarship amounts determined by executive director. Set up and end automatic billing. Follow up with parent(s) who might have difficulty paying tuition by suggesting CCDF and scholarship opportunities.
- Ensure staff is registered in IN.GOV after hire, accepted consent, renew/edit Hanna's consent, delete profiles as staff leave the center
- Ensure enrollment and compliance with CEUS's and required education per state
- Ensure center is compliant with CCDF standards to avoid complications during surprise and scheduled visits
- Ensure CCDF parent(s)/guardian(s) are swiping per portal. For those that have given permission to swipe on their behalf, ensure swiping is up to date.
- Recruit and advocate at Lafayette School Corporation schools (Glen Acres, Vinton, Murdock, Sunnyside, Edgelea, and Miller). Increase youth enrollment. Bonus structure will be implemented if enrollment is increased 25% from the following year resulting a 5-10% bonus based on salary. Ratio of youth must be compliant with youth program staff.
- Recruit and network potential partners for sponsorship for youth program, elements of youth programming, fiscal partnerships, donations, and childcare tuition assistance.
- Promote job opportunities and interview candidates for youth program in partnership with the executive director.
- Provides specialized administrative support in the development, implementation, and marketing of program/project function.
- Maintains program/project records, research information and gathers and computes various data; prepares special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.
- Provide information requested for executive director to submit data reports for IMHC, United Way, Northend Community Center and any other stakeholder
- Performs or delegates clerical and administrative support tasks, including creation, typing, and
- Serves as a central point of contact between staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters; assists with meetings, special projects, and/or general problem resolution.
- Coordinates activities of support staff, consultants, and/or volunteers engaged in implementation and administration of program objectives.
- Monitors and administers program budget; may develop or participate in the development of funding proposals for the program.
- Writes, edits, and coordinates development of course catalogs, promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the
- Responsible for implementing policies and procedures regarding facilities and Hanna Community Center’s 14 passenger van including but not limited to; ensuring proper paperwork is filled out prior to departing, driving, reporting damages to executive director, etc.
- Ensure that youth program has the needed amount of drivers to execute program or find fill-in drivers per volunteer and insured approved list.
- Promote volunteer drivers if there is a need with partnership of LSC schools and the marketing team.
- Participates in all required trainings and certifications in compliance with Hanna Community Center’s standards.
- May perform specialized activities of a programmatic nature in direct support of the accomplishment of program objectives and protocol.

Pay: $35,495.70 - $42,747.51 per year
