School Secretary - Elementary

Reports to:

Principal, Middle School

Contract:

220 Days 

Salary Scale:

Clerical Pay Band 1

POSITION SUMMARY:

Assist the principal in order that the latter may devote maximum attention to administering an effective instructional program.

 

QUALIFICATIONS:

  1. Possess a high school diploma or G.E.D. equivalency.
  2. Demonstrate a thorough knowledge of standard office practices and procedures, equipment, and secretarial techniques.
  3. Establish and maintain effective working relationships with others.
  4. Familiarity with racial equity and inclusion frameworks.
  5. Experience working directly with individuals and families from diverse racial, ethnic, and socioeconomic backgrounds.
  6. Possess excellent human relation and communication skills.
  7. Bilingual preffered. 

ESSENTIAL FUNCTIONS:

  1. Perform all secretarial and clerical duties pertaining to the administrative functions of the school office.
  2. Receipt, deposit, disburse, and record all monies received by the school, and to keep an accurate ledger from which a monthly balance sheet and an annual audit can be made.
  3. Report accidents to the central office and file accident insurance claims.
  4. Record and verify all daily, weekly, and quarterly student attendance figures and computer records of attendance, including entries and withdrawals.
  5. Keep the office and bulletin boards attractive and up-to-date.
  6. Receive and distribute all consumable supplies used in the school as required by the principal.
  7. Dispense medications, give first aid, take temperature and record all on office log.
  8. Keep accurate records of attendance for all employees and to make monthly payroll reports as designated.
  9. Input classroom supply orders on to mainframe and track as orders are received.
  10. Make new student cum folders and keep student files up-to-date with correct address and phone number changes.
  11. Copy all records for transferring students.
  12. Maintains confidentiality in all matters.
  13. Models professional, moral, and ethical standards as well as personal integrity in all interactions, including non-discriminatory and cultural inclusion practices by respecting the worth, dignity and individual beliefs of others.
  14. Complies with and supports school division policies, regulations and procedures.
  15. Perform other duties as assigned by the Principal.

PHYSICAL DEMANDS / WORK ENVIRONMENT:

Light work, lifting up to 25 pounds occasionally, and/or up to 10 pounds frequently.  Regular travel throughout the school and effectively interact with students, staff, and community members.  Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; and subject to inside and outside environmental conditions.  Regular contact with staff members is required.  Not substantially exposed to adverse environmental conditions.

 

EVALUATION:

Performance will be evaluated in accordance with school board policy and administrative regulations on the evaluation of licensed personnel.
